Notice of Cancellation and Refund Policy for Gap Year Projects

 

Notice of Korea Gap Year Project Refund Policy

The refund policy is intended to protect project operating organizations from losses arising from unilateral or sudden cancellations (including non-attendance, unauthorized departure, loss of contact, etc.) and changes by participants.

It aims to protect the rights and interests of participants and project operating organizations and to ensure a fair business practice. Prior to booking a project, you must review the Korea Gap Year special terms and applicable regulations.

 

1) Domestic and International Project Refund Policy

All gap year projects are subject to refund policies established by the project operating organization/entity. These constitute standardizedthreetypes of refund policies (Standard, Strict, Very Strict)

policies. We strongly recommend reviewing the refund policy applicable to the project before making a reservation. The refund policy applicable to each project can be found on the project details page

where it can be viewed.

* The project start date and remaining days are applied from 00:00 Korean Standard Time on the relevant date.

 

① Korea Gap Year shall not be liable for any participant losses resulting from the participant's unilateral cancellation (including non-attendance, unauthorized departure, loss of contact, change of mind, accidents, incidents, etc.) or changes.

If a refund is issued after the participant's project participation has been confirmed, the refund will be made after deducting the cancellation fee and applicable taxes.

③ The time of project participation confirmation is based on the date and time Korea Gap Year sends the project participation confirmation email to the participant; the project start date and remaining days are determined from 00:00 (Korean Standard Time) on the relevant date.

If a participant cancels the project for personal reasons after the project has been confirmed, a cancellation fee may be charged for the non‑refundable portion of any prepaid amounts in addition to the refund policy established by the project operating organization.

⑤ The project registration fee is non‑refundable after participation in the project has been confirmed.

 

2) Additional Provisions Regarding Participant Cancellations and Changes

① After payment of the project fee, project details (start date, duration, options, etc.) may be changed once. Administrative fees will apply depending on the timing of the change. Such administrative fees must be paid each time an individual participant requests a change.

② If additional costs (project fees, remittance fees, ultra‑urgent package fees, cancellation of discounts, etc.) arise due to project cancellation or changes, the participant shall be responsible for such additional costs.

③ The availability of cancellations, refunds, and changes cannot be guaranteed in all cases; depending on the project, cancellations, refunds, and changes may not be possible. Whether a project's contents can be changed is subject to consultation between the project operating organization and Korea Gap Year, and in most cases changes are not possible after participation in the project has been confirmed.

④ If the project duration is shortened, refunds for the cancelled period shall follow one of three standardized refund policies (Standard, Strict, Very Strict).

⑤ If, after applying and completing payment, the participant is unreachable for more than 72 hours without prior consultation, the participant will be deemed to have no intention to proceed with the project and the project will be automatically cancelled. In such cases, the project fee (including any liability fee) will not be refunded and the participant may be restricted from participating in future gap year projects.

⑥ If an urgent application is made less than 21 days before the project start date, some schedules and services may not be provided. No refunds will be issued for such omissions.

⑦ If an application is made with 19 days or fewer remaining before the start date, an ultra‑urgent package fee must be paid. This fee covers administrative costs for urgent participation and is non‑refundable regardless of whether the project is ultimately confirmed.

⑧ If the schedule is changed after participation has been confirmed, subsequent project cancellations and schedule changes are not permitted.

 

3) Conditions for Cancellation and Changes by the Project Operating Organization

① If the project operating organization cancels the project prior to its start, the project fees will be refunded. The Company may, with the participant's consent, modify the project once without additional service or change fees. Any additional costs arising from such project changes shall be borne by the participant.

② For the safety and protection of participants, the Company reserves the right to cancel project participation if the objectives of the project cannot be achieved due to natural disasters, armed conflict, government orders, or other economic, social, or physical crises affecting the project operating organization or the region. In such cases, the Company may change the project once without additional service or change fees. Any additional costs resulting from such project changes shall be borne by the participant.

③ If, due to local circumstances (natural disasters, armed conflict, government orders), the project organization and the participant mutually agree that a change is unavoidable, the project contents may be amended. If such changes result in increased project costs, the participant must settle the additional amount within 10 days after project completion.

④ The project schedule, activities, and services may change or be reduced due to local conditions (weather, transportation, natural disasters, armed conflict, government orders, terrorism, economic/social/physical crises, etc.), outdated information, or errors. Cancellations or refunds resulting from these circumstances are not possible; responsibility for such changes lies with the project operating organization.

⑤ Refund eligibility may vary according to travel advisories issued in the Ministry of Foreign Affairs' Overseas Safety Information.

 

4) Cancellation, Refund, and Change Procedures

1. Requests for project cancellations, refunds, and changes can only be submitted through the Korea Gap Year website, and the entire process will be conducted in accordance with the prescribed procedures.Applications for project cancellations, refunds, and changescan be submitted on the Korea Gap Year website.

2.All cancellation, refund, and changerequest dates and times shall be based on Korea Gap Year’s weekday business hours (Mon–Fri 10:00–17:00).Cancellations, refunds and changesIf the submission date falls on a Saturday, Sunday, or public holiday, the request must be submitted during weekday business hours. Requests submitted after weekday business hours or on Saturdays, Sundays, or public holidaysfor cancellations, refunds and changeswill be considered received and processed on the next weekday business day.

5) Refund Policy for Projects Subject to a Liability Fee

1. Participants in projects subject to a liability fee must familiarize themselves with the liability fee provisions, and any failure to do so and any resulting issues shall be
the sole responsibility of the participant.

2. Liability fees paid by participants will be refunded in full in accordance with procedures after confirmation of normal participation in the project, completion, and submission of the participant report.

3. For projects subject to a liability fee, if a participant cancels or withdraws from the project for personal reasons after applying and making payment, the liability fee and participation fee are non‑refundable.

4. For projects subject to a liability fee, participants assist the activities of local institutions and receive corresponding compensation (such as activity fees or provision of living conveniences, which vary by local institution).
Participants are obliged to compensate for any damage arising from failure to comply with the rules and regulations of the project-operating institution·organization during participation, and the project may be forcibly terminated.
Korea Gap Year shall bear no responsibility for this.

5. If a participant takes part in a project with financial support and fails to achieve 100% attendance, the liability fee is non‑refundable; having agreed to this condition prior to confirmation of participation,
the participant may not raise any objections in this regard.

6. For projects subject to a liability fee, project details and provided items may vary according to local and project-operating institution circumstances (such as weather, transportation, natural disasters, war, government orders, terrorism, economic or social/
physical crises, etc.), and after the project has commenced, all schedules and details are under the authority and responsibility of the local project operating institution·organization.

7. If the project cannot proceed or is suspended due to Korea Gap Year’s fault, a full refund will be issued. However, this shall not apply if Korea Gap Year proves that there was no willful misconduct or negligence on its part.

Notice Regarding Issuance of Cash Receipts

The amount paid by the participant shall consist of the supply cost determined by the local institution, fees for basic services and use of goods, overseas remittance fees, the Korea Gap Year service fee (approximately KRW 200,000 for language projects and approximately KRW 350,000 for overseas projects; exceptions may occur depending on the project and in accordance with the regulations of the overseas local institution), any discount coupons applied to the product, and any option details for optional products.

Accordingly, the proof of purchase issued to the participant (such as a tax invoice or cash receipt) shall be issued for the amount corresponding to the Korea Gap Year service fee and applied discount coupons after excluding the supply cost determined by the local institution, service and goods usage fees, overseas remittance fees, and the like (i.e., the net Korea Gap Year service usage amount) [pursuant to Articles 126-2 and 126-3 of the Restriction of Special Taxation Act and Basic Ruling 17-0-10 of the Value-Added Tax Act].If you wish to receive a cash receipt, please contact help@koreagapyear.com and provide the recipient’s name; the recipient’s telephone number (or resident registration number or business registration number); the name of the project in which the participant is enrolled; and the email address to which the information should be sent.

 

Note: National Tax Service Response Regarding Cash Receipts

  1. Expenditures incurred abroad are excluded from income tax deductions and from eligibility for the issuance of cash receipts pursuant to Article 126-2 of the Restriction of Special Taxation Act (Income Deductions for Amounts Charged to Credit Cards, etc.).

 

  1. Where a business that has affiliated as a cash-receipt merchant under Article 126-3 of the Restriction of Special Taxation Act receives, in cash from a general traveler, both the commission for travel agency services and costs for transportation, accommodation, meals, or other expenses not related to such travel agency services, the business shall issue a cash receipt only for the commission for the travel agency services directly provided by that business.
