Application Processing Terms and Conditions
Korea Gap Year Co., Ltd. shall handle all application processing services in accordance with these Terms in order to protect participants.
Article 1 (Purpose)
These Terms are intended to prescribe the rights and obligations between the project processing company (hereinafter referred to as the "Provider") and the person who requests project processing (hereinafter referred to as the "Participant").

A project contract shall be deemed concluded when the Participant completes and submits the participation application prescribed by the Provider and indicates intent to participate by paying the full project fee or depositing a contract deposit.

a. Where the participant agrees to the contents of the contract, terms, and project regulations provided through electronic networks (such as the Internet) and applies to conclude the contract, and the operator notifies the participant of its acceptance by means of the electronic network or mechanical devices.
b. Where the participant agrees to the contents of the contract, terms, and project regulations provided by the operator via facsimile or other mechanical devices and
the operator notifies the participant of its acceptance by means of an electronic network or mechanical devices in response to a fax or postal mail sent by the participant applying to conclude the contract.

The Operator shall not bear any civil or criminal liability in the following cases unless there is a separate attributable fault on the part of the Operator.

Article 14 (Resolution of Disputes)
1. The Operator shall establish or operate a dispute mediation body in accordance with its internal policies to reflect legitimate opinions or complaints raised by Participants and to handle compensation for any damages.
Article 15 (Termination of Procedural Services)
1. The procedural agency services shall terminate when the Participant receives acceptance of participation from the project operating organization. However, if a dispute arises between the Participant and the project operating organization during the Participant’s participation period, the Operator may assist the Participant in resolving the dispute. The Participant shall fully understand that the final conclusion of such a dispute may
not necessarily align with the Participant’s expectations.

[Appendix] Korea Gap Year Project Participation Consent Form
1) The Participant shall diligently participate in the Gap Year Project and shall assume responsibility for achieving his or her personal objectives for project participation.
2) Korea Gap Year shall make its best efforts to ensure fair transactions between Participants and Project operating institutions/organizations and to provide efficient services.
1) "Korea Gap Year" means the Korea Gap Year corporation.
2) "Gap Year Project" means activities that may be undertaken during a gap year, including volunteer work, job experience placements, travel, education, mentoring, and camps.
3) "Participant" means an individual or legal entity that participates in a Gap Year Project by using intermediary services provided by Korea Gap Year as defined in Article 2(4) of the Act on Consumer Protection in Electronic Commerce.
4) "Project Operating Institution" means domestic or foreign institutions, organizations, or individuals (e.g., NGOs, agencies, corporations, schools, associations) that have entered into an intermediary agreement with Korea Gap Year under Article 2(3) and directly operate Gap Year Projects on-site, domestically or abroad.
1) The scope of services provided by Korea Gap Year is as follows:
① Support to Participants regarding the purchase of Gap Year Projects.
② Support to Project Operating Institutions in relation to the promotion of Gap Year Projects.
3) Other services mediating between participants and project operating organizations.
2) Korea Gap Year acts as an intermediary between project operating organizations and participants and assumes only responsibility for efficient and fair project brokerage and transactions; it does not act as an agent for participants or local project operators in relation to project transactions.
3) The agency procedures shall terminate when the participant receives acceptance of participation from the project operating organization.
1) The participant shall provide Korea Gap Year with truthful personal information necessary for the conduct of the project in which they participate, including criminal record status, dietary information, and any health-related special conditions. Any issues arising from information falsely provided by the participant shall be the responsibility of the participant.
2) The information provided by the participant will be used for Korea Gap Year’s participant screening, provided to project operating organizations, or used for participant management purposes, and shall not be used for any other purposes.
3) Participants must be at least 18 years old. Minors may participate only after submitting a parental/guardian consent form and additional documents in consultation with Korea Gap Year. Failure to submit the parental/guardian consent form and additional required documents will result in denial of participation.
4) The participant shall truthfully disclose personal physical and mental conditions, notable medical history, and any other special circumstances necessary for project participation, and must notify Korea Gap Year of any such particulars. Problems or denial of participation arising from failure to disclose such information in advance may result in cancellation of participation without refund.
5) By applying for project participation, the participant is deemed to have agreed in advance to the collection and use of personal information, third-party provision of personal information, the agency service terms, the amended e-commerce terms, and the cancellation and refund policies.
6) The participant is responsible for verifying his or her own criminal record. Korea Gap Year reserves the right to cancel the project without refund if the participant’s illegal activities or criminal record are confirmed. The participant must have no criminal record that disqualifies them from participating in the project.
7) If a participant takes part in two or more projects, Korea Gap Year may proceed with all administrative tasks and procedures based on the time of the initial project application and consent to participate.
1) Gap year projects are conducted by project operating organizations. After project participation is confirmed, participants must fully familiarize themselves with information regarding the project operating organization.
2) After a project is confirmed, all schedules and details are under the authority and responsibility of the project operating organization and may change according to the circumstances of the local project operating organization (e.g., weather, transportation, natural disasters, war, government orders, terrorism, economic/social/physical crises, etc.). After project confirmation, all schedules and details are the authority and responsibility of the local project operating organization or entity.
3) Participants must comply with the operations and authority of the project operating organization.
4) To ensure transaction safety, direct transactions (monetary, goods, etc.) between participants and project operating organizations are prohibited. The parties to any direct transaction are fully responsible for any issues arising therefrom, and Korea Gap Year bears no responsibility for such problems.
5) If it is confirmed that a participant engaged in direct transactions with the project operating organization or induced a third party to engage in direct transactions before or after the project start, Korea Gap Year may claim damages from the participant.
6) With respect to transactions between participants and project operating organizations, responsibility for the existence and genuineness of intent to sell or purchase, as well as for quality, safety, legality, and non-infringement of others’ rights, rests with the participant and the project operating organization.
1) Korea Gap Year provides intermediary services between participants and project operating organizations and may charge service fees in accordance with Korea Gap Year’s internal policies.
2) Korea Gap Year may charge a security deposit depending on the project to ensure proper participation and completion. The security deposit will be refunded in accordance with procedures if there are no issues after confirmation of proper participation, completion, and submission of the participant report. The security deposit is an amount of money that guarantees the participant’s contract to participate in and properly complete the project.
3) The project fees paid by the participant consist of the supplier cost set by the project operating organization, fees for basic services and goods, international remittance fees, applicable discount coupons, contents of optional products, taxes, and other applicable charges.
4) Details regarding the composition of participation fees can be found on the Korea Gap Year website (www.koreagapyear.com) under [Announcements].
5) For overseas projects, project fees are applied according to each country’s currency and exchange rates. Korea Gap Year reserves the right to change project fees, and the most accurate price should be confirmed via the website’s posted price and individual notifications.
6) Purchase evidence issued to participants (tax invoices, cash receipts, etc.) will be issued for the net Korea Gap Year service amount — excluding local supplier costs, local service and goods fees, local taxes, and local remittance fees — and will reflect the sum of Korea Gap Year service fees and discount services.
7) Applications for issuance of cash receipts are processed in writing or by email. To request a cash receipt, provide the recipient’s name, the recipient’s mobile phone number (or resident registration number or business registration number), the name of the project attended, and the email address for receiving the receipt, and submit the request to Korea Gap Year (help@koreagapyear.com).
8) Cash receipts will be issued within three days after the supply reference date. (*Supply reference date: For overseas projects — the project start date; for other products — in accordance with the company’s supply reference.)
9) If a person does not request issuance of a cash receipt or does not wish to receive one, an anonymous cash receipt (National Tax Service designated code 010-000-1234) will be issued voluntarily on the third day after the date of supply pursuant to the mandatory cash-receipt issuance system.
10) Korea Gap Year reserves the right to request additional payment for any price changes that occur after the participant has completed the application form but before participation is confirmed. If the participant refuses such payment, their participation may be cancelled, and Korea Gap Year shall not be liable.
11) If, after project participation is confirmed, the project cost increases by 5% or more, or the foreign-exchange rate applied to the project cost increases by 2% or more, Korea Gap Year may charge the participant for the increased amount; any difference arising from changes in exchange rates or project costs will not be refunded.
1) Prior to remitting the participation fee and liability deposit, the participant acknowledges that they have reviewed the items listed as included and excluded and any special benefits on the project detail page; the participant is solely responsible for any issues arising from failure to be aware of such information.
2) The participant is responsible for items not included and for preparing them. Accordingly, if the participant fails to attend, is delayed, or cancels participation due to items not included, any additional costs and damages shall be borne by the participant, and Korea Gap Year shall have no liability.
3) Items included in the project may be changed due to local circumstances (such as weather, transportation, natural disasters, war, government orders, terrorism, or economic, social, or physical crises). After the project commences, all schedules and details are under the authority and responsibility of the project operator. Korea Gap Year will notify participants as soon as it becomes aware of such changes from the project operator.
4) Special benefits included in the project may be changed, reduced, or cancelled without the participant's consent.
1) The participant is fully informed of the participation period of the gap year project, including the start and end dates. Korea Gap Year shall not be liable for any issues arising from the participant's failure to be aware of the project period.
2) Participants are advised to arrive in the project country and city at least 24 hours prior to the project's start date according to the local time of the project country and city, as instructed by Korea Gap Year and the project operator. If participation is denied due to late arrival, Korea Gap Year shall bear no responsibility and the participant shall be solely liable.
3) The participant is responsible for any mid-project withdrawal, loss of contact, unauthorized departure, change of mind, incidents, or accidents arising from the participant’s personal decisions or circumstances.
4) If a participant joins or arrives on dates other than the scheduled project start date, additional costs may be incurred, which shall be the responsibility of the participant. No refunds will be provided for any reduction in schedule in such cases.
1) The participant is responsible for any problems resulting from their failure to review information provided by Korea Gap Year. Therefore, participants are strongly advised to review the information provided by Korea Gap Year prior to participating in the project.
2) All materials and information provided by Korea Gap Year are supplied for the participant's reference and are not guaranteed to be free from errors or to be up-to-date; participants are advised to re-confirm information upon arrival.
3) All materials and information provided by Korea Gap Year are the exclusive property of Korea Gap Year; unauthorized copying or sharing without Korea Gap Year's consent may result in civil and criminal penalties, and Korea Gap Year reserves the right to claim damages from participants for any financial loss caused by unauthorized copying or sharing.
4) Korea Gap Year provides the following information, which may be reduced or altered depending on timing and the project.
1) When accommodation is arranged in connection with the project
1) Prior to participating in a project, the participant must verify the name or location/address of the accommodation where they will stay, the number of cohabitants, whether meals are included, and other relevant details for each accommodation.
2) Accommodations may be changed or reduced due to local circumstances or the situation of the project operator (weather, transportation, natural disasters, war, government orders, terrorism, economic/social/physical crises, etc.), and the accommodation images and amenities shown in the project details may differ from reality.
3) Participants must familiarize themselves with and comply with any rules that apply to the accommodation they select. If a participant's negligence or intentional act results in disadvantages such as forced eviction or relocation, the participant shall bear sole responsibility.
4) If furniture, fixtures, or equipment in the accommodation are damaged due to a participant’s negligence or intentional act, the participant shall be fully liable for compensation and must resolve the matter directly with the project operator.
5) Participants must know the confirmed accommodation period prior to participation. If a change to the accommodation period is required after the project begins, the participant must notify and resolve the matter with the local project operator or accommodation manager. The participant must also promptly inform Korea Gap Year of any changes; the participant bears all responsibility for any consequences resulting from failure to notify either the project operator or Korea Gap Year.
6) If a participant changes the accommodation period for personal reasons, additional costs may incur, and the participant shall be responsible for all such additional costs. Furthermore, changes to the accommodation period may not be possible due to local circumstances.
2) When accommodation is not provided
1) Participants must be aware in advance when the project they are joining does not provide accommodation, and must independently decide upon and arrange their method of lodging and lodging provider during the project period.
2) If participants choose their own accommodation, they must sufficiently consider the distance to the project site and verify accessibility to public transportation, safety, number of roommates, whether meals are included, and other relevant factors.
3) The participant is solely responsible for all matters arising from accommodation they select themselves.
4) Upon participant request, Korea Gap Year may recommend accommodations. In such cases, cancellations, refunds, and changes shall follow the rules of the respective provider, and responsibility for the accommodation lies entirely with that provider (company, lodging facility, operator, etc.).
1) Korea Gap Year does not act as an agent for the purchase of flights or other transportation. Participants are responsible for all schedules of flights, ships, and other transportation for project participation, and Korea Gap Year shall have no responsibility in this regard.
2) Korea Gap Year is not liable for changes, delays, cancellations, or refunds related to flights, ships, or other transportation that participants purchase or will purchase. Participants must secure one-way or round-trip transportation in advance and be aware of accurate transportation information when traveling.
3) For the smooth conduct of the project, participants must purchase tickets and transportation in accordance with Korea Gap Year’s guidance and coordination after project participation is confirmed. Korea Gap Year is not responsible for problems arising from purchasing tickets or transportation prior to final project instructions.
4) Korea Gap Year will not provide any refunds and bears no responsibility for canceled participation, missed schedules, or services resulting from cancellation, schedule changes, or delays of a participant’s flights, ships, or other transportation.
5) If participating in a project that includes pickup service, participants must submit detailed flight, ship, or other transportation information to Korea Gap Year at least 28 days prior to arrival. Failure to submit within the deadline resulting in non-receipt of pickup service is the participant’s responsibility. All transportation details submitted must be final; submitting transportation that is only reserved but not fully confirmed will be treated as not submitted and pickup will not be provided.
6) For projects that include pickup service, any pickup delays, accidents, cancellations, or similar incidents are the responsibility of the local entity operating the pickup service or the project operator.
7) For projects that include pickup service, the content and method of pickup may be changed without the participant’s consent due to local circumstances (weather, transportation, natural disasters, war, government orders, terrorism, economic/social/physical crises, etc.).
8) For projects that do not include pickup service, participants must travel to the project site themselves in order to participate and commence the project. Participants shall bear any costs incurred in traveling.
9) If the project fee includes flights, ships, or other transportation, or if Korea Gap Year facilitates or recommends such services for the participant’s convenience, participants must comply with the rules of the providing institution (travel agency, airline, local provider, etc.). Responsibility for such transportation lies with the providing institution (travel agency, airline, local provider, etc.).
1) Due to government policies strengthening personal data protection, Korea Gap Year does not act on behalf of participants for visa or other document processing when there is a risk of personal data exposure.
2) Prior to participation, participants must be fully aware of passport validity and visa requirements for the country of participation (including transit countries) and any requirements imposed by the project operator. For smooth participation, Korea Gap Year recommends a passport with at least two years of validity remaining as of the project start date.
3) Korea Gap Year may provide visa and vaccination guidance for participants’ reference. However, participants must independently verify up-to-date visa and vaccination information as of their participation date. Korea Gap Year shall not be liable for any damage arising from errors or outdated visa or vaccination information provided by Korea Gap Year.
4) Participants in overseas projects are responsible for preparing all required documents and visas and for complying with all laws, orders, requirements, and project participation conditions of the destination country. It is the participant’s responsibility to ensure that all documents and visas required for participation remain valid during the project period, and Korea Gap Year is not responsible for incidents arising from the participant’s failure to exercise due care regarding documents and visa information.
5) Participants must complete all required vaccinations at least four 4weeks prior to the program start date for the purpose of disease prevention. For special or additional vaccinations, participants must follow their individual health conditions as well as disease information and recommendations provided by the Ministry of Foreign Affairs.
6) For the purpose of disease prevention and vaccination, participants are required to review, understand, and comply with all relevant health and vaccination information in advance.
7) Korea Gap Year shall not be liable for any consequences that may arise at any time if a participant fails to obtain or carry valid required documents or visas, or if the participant violates any such laws, regulations, orders, requirements, rules, or instructions.
1) Korea Gap Year shall not be liable for any damages to the participant arising from the participant's unilateral cancellation (including no-shows, unauthorized departures, loss of contact, change of mind, incidents, or accidents) or changes. In addition,If a participant cancels the project after the project has been confirmed, the paid registration fee is non-refundable, and the refund policy applicable to the project will apply to the amount excluding the registration fee.
2) All Gap Year projects are subject to refund policies set by the project operating organization or agency.They fall into one of three standardized refund policy types (Standard, Strict, Very Strict).You must review the refund policy applicable to the project before purchase. The refund policy applicable to each project can be found on the project's detail page.

④In the event of a refund after confirmation of project participation, refunds shall be processed after deducting cancellation fees and any applicable taxes.
⑤The time of confirmation of project participation shall be the date and time on which Korea Gap Year sends the project participation confirmation email to the participant, and the project start date and remaining days shall be calculated based on 00:00 Korea Standard Time on that date.
⑥If, after confirmation of project participation, a participant cancels for personal reasons, cancellation fees may be imposed on non-refundable portions of certain prepaid costs in accordance with the project operator's policy, in addition to the project's established refund policy.
4) Refund Policy for Projects with a Liability Fee
① Participants in projects subject to a liability fee must fully familiarize themselves with the liability fee regulations; failure to do so and any problems arising therefrom are the sole responsibility of the participant.
② The liability fee paid by the participant will be refunded in full following the established procedure upon confirmation of normal participation in the project, project completion, and submission of the participant report.
③For projects subject to a liability fee, participants assist local organizations and receive corresponding compensation (such as activity allowances or provision of living conveniences, which vary by local organization). Participants are obligated to compensate for any damages resulting from noncompliance with the rules and regulations of the project operating organization during participation, and the project may be terminated forcibly. Korea Gap Year shall not be held liable for such matters.
④ If a participant joins a project under financial support, the liability fee is non-refundable if 100% attendance is not achieved; the participant, having agreed to this prior to confirmation of participation, may not raise objections.Raiseobjections.
⑤ For projects subject to a liability fee, project details and provisions may vary depending on local circumstances and the project operating organization (e.g., weather, transportation, natural disasters, war, government orders, terrorism, or economic, social, or physical crises). Once the project has commenced, all schedules and details are under the authority and responsibility of the local project operating organization.
5) Project Cancellations, Refunds and Changes
① After payment of the project fee, project details (start date, duration, options, etc.) may be changed once only; administrative fees will apply depending on the timing of the change. This administrative fee must be paid each time an individual participant makes a change.

② In the event that project cancellations, refunds, or changes incur additional costs (project fees, remittance fees, express urgent package, cancellation of discountsetc.), the participant is responsible for these additional costs.
③ The possibility of cancellation, refund, or change cannot always be guaranteed, and such actions may be impossible depending on the project. Whether a project's details can be changed depends on consultation between the project operating organization and Korea Gap Year, and generally changes are not possible after project participation has been confirmed.
④ When the project duration is shortened, refunds for the cancelled period will follow one of three standardized refund policies (standard, strict, very strict).
⑤ If the project schedule is changed after participation has been confirmed, subsequent project cancellations, refunds, and schedule changes are not permitted.
6) Other Important Notes Regarding Cancellations and Refunds
① If, after applying for the project and completing payment, contact is lost for more than 72 hours without prior consultation, the participant will be deemed to have no intention to proceed with the project and the project will be automatically canceled. In such cases, project fees (including the liability fee) will not be refunded and the participant may be restricted from participating in future Gap Year projects.
② The project registration fee is non-refundable once participation in the project has been confirmed.
③ If an emergency application is made less than 21 days prior to the project start date, certain services described in the project details may not be provided. Korea Gap Year shall not provide any refunds in such cases and shall bear no liability.
④ 19 days prior to the start dateor fewerIf an application is submitted at a time when 19 days or fewer remain before the start date, an ultra-urgent package fee must be paid; this fee is an administrative charge for expedited participation and is non-refundable regardless of whether the project is ultimately confirmed.
⑤ Due to circumstances of local organizations (e.g., weather, transportation, natural disasters, war, government orders, terrorism, economic/social/physical crises), outdated information, or errors, the project schedule, activities, and provided items may change and, where unavoidable, may be reduced or modified. Cancellations or refunds resulting from such changes are not possible, and responsibility for such matters lies with the project operating organization.
7) Cancellation, Refund and Amendment Procedures
① ProjectCancellation, refund and amendmentare accepted only through the Korea Gap Year website, and the entire process shall be conducted in accordance with prescribed procedures. Project cancellation, refund and amendmenton the websitemay be requested via the website.
② All cancellation, refund and amendment application timestamps shall be based on Korea Gap Year's weekday business hours (Mon–Fri 10:00–17:00). Cancellation, refund and amendment requests for which the receipt date falls on a Saturday, Sunday, or public holiday must be submitted during weekday business hours to be considered received. Requests made after weekday business hours, or on Saturdays, Sundays, or public holidays,for cancellation, refund and amendment will be deemed received and processed on the next weekday business day.
1) For projects with a responsibility fee
① All participants in Gap Year projects requiring a responsibility fee must, upon normal completion of the project, check the Gap Year website (www.koreagapyear.com) and, in accordance with the notices, submit the participation report and required documents within 30 days of the project completion date and request the refund; only then is a refund of the responsibility fee possible. If the participation report is not submitted within 30 days or a refund request is not made, the responsibility fee will not be refunded under any circumstances, and Korea Gap Year shall bear no liability.
② If the participation report and mandatory submission documents are insincerely or incompletely prepared, Korea Gap Year may require resubmission; failure to submit the documents within the deadline or submission of insincerely prepared documents may result in denial of the responsibility fee refund.
③ Copyright in the participation report, submitted documents, and participant works (photos, videos, essays, etc.) submitted for the responsibility fee refund shall vest entirely in Korea Gap Year and may be used for promotional and marketing purposes.
2) For all projects other than those requiring a responsibility fee
① Participants in all projects excluding Gap Year responsibility-fee projects may, upon normal completion of the project, via the Korea Gap Yearwebsite (www.koreagapyear.com) obtain project certificates and verifications. However, to receive a certificate of completion, the participation report must be completed within 30 days after project conclusion.
② If the participant fails to submit the participation report within 30 days after the project’s conclusion without prior consent from Korea Gap Year, or submits it in an insincere or incomplete manner, issuance of certificates and attestations may be refused or resubmission may be required.
③ Copyright in the participation report, related submitted documents, and participants’ works (e.g., photographs, videos, essays) submitted for the issuance of certificates and attestations shall be owned exclusively by Korea Gap Year and may be used for promotional and marketing purposes.
① Participants must review the pre-mission information provided prior to Gap Year missions (Gap Year Mission Guide). Korea Gap Year shall not be liable for any incidents arising from a participant’s failure to acquaint themselves with such information.
② Applicants must check the Gap Year scholarship application procedure on the Korea Gap Year website (www.koreagapyear.com) following the proper completion of the project and Gap Year mission, and must submit the mission scholarship application, participation report, and related documents within 30 days from the project end date. If these documents are not submitted within the stated period, the funds corresponding to the completed mission shall be donated in the participant’s name.
③ Refundability of Gap Year mission scholarships may vary depending on the project and its duration.
④ The responsible department will periodically review the blog for mission completion status and will conduct a final determination of mission completion after the participant submits the mission scholarship application; therefore, until that time the participant’s mission records on the blog must be set to public and be available for verification.
⑤ Copyright in the mission submissions, participation reports, and other participant works (e.g., photographs, videos, essays) submitted for Gap Year scholarships and for issuance of certificates and attestations shall be owned exclusively by Korea Gap Year and may be used for promotional and marketing purposes.
1) Participants are obliged to prepare for departure and activities by taking into account their own physical and mental health, including any illnesses that require attention during the project period. If a participant has chronic conditions or current health concerns, and falls under any of the criteria below, the participant is responsible for consulting their primary physician and visiting an appropriate medical institution prior to departure, and for verifying and preparing health documentation, prescribed medications, basic medical supplies, and any documentation required to bring such medications.
- If the participant has cardiovascular diseases such as myocardial infarction, angina, or heart failure, or has undergone cardiac surgery.
- If the participant has respiratory diseases such as chronic obstructive pulmonary disease, asthma, pneumonia, pulmonary edema, or pneumothorax.
- If the participant has neurological conditions such as stroke or brain tumor, or has undergone brain surgery.
- If the participant has undergone recent surgery.
- If the participant is currently hospitalized or has a condition requiring ongoing treatment.
- If the participant has an acute infectious or contagious disease.
- If the participant has an uncontrolled psychiatric disorder.
- If the participant has been diagnosed with deep vein thrombosis or pulmonary embolism.
- If the participant requires in-flight oxygen, a stretcher, or the use of specialized medical equipment during flights.
- If the participant has diabetes or allergies to specific substances and carries syringes for medical purposes.
- If the participant has implanted medical devices for therapeutic purposes, such as a pacemaker, insulin pump, or spinal cord stimulator.
* The above criteria are subject to change in accordance with the latest information from the Korea Disease Control and Prevention Agency, medical institutions, airlines, and other relevant authorities.
2) Participants must review project information and orientations posted on the website; Korea Gap Year shall not be liable for any incidents arising from a participant’s failure to do so, and all responsibility in this regard shall rest solely with the participant.
3) Compliance with Safety Rules
① The participant shall be solely responsible for incidents, accidents, thefts, and losses occurring during the project; Korea Gap Year shall bear no liability in this regard. Participants must therefore remain vigilant regarding safety incidents, accidents, theft, and loss while participating in the project.
② Participants must comply with the following safety rules. The participant shall bear full responsibility for any safety incidents resulting from failure to comply.
Participants must review, understand, and comply with all overseas travel safety guidelines and recommendations issued by the Ministry of Foreign Affairs of each country.
③ In the event of an emergency during project participation, participants must first contact the project operating organization. If significant matters such as changes to or suspension of the project arise, the participant must contact Korea Gap Year by the method specified by Korea Gap Year within 24 hours to discuss the subsequent course of action.
④ Information regarding services used individually outside the project's daily schedule and introductions to activities are provided for participants' reference and do not constitute services provided by Korea Gap Year. Therefore, participants should exercise particular caution when using services during free time. Participants must consider their current physical condition and abilities, avoid overexertion, wear safety equipment, comply with safety rules, verify that they have insurance covering potential risks, and confirm that activity providers are trustworthy.
4) Participants must submit, upon Korea Gap Year's request, relevant information such as itineraries and plans, flight information, travel insurance details, and documents requested by Korea Gap Year, and agree to the collection, use, and, if necessary, disclosure of such information to third parties. The participant is solely responsible for failure to submit the required information.
5) During the project period, public holidays, special events, weekends, and religious holidays in the project region and country may occur. Korea Gap Year will not provide any refunds or compensation for schedules or services missed as a result. Korea Gap Year does not provide information on these matters; participants must verify them independently.
6) During participation, the confirmed project and assigned accommodation may not be changed without the permission of the project operator and Korea Gap Year.
7) If a participant wishes to engage in additional activities or extend the participation period during the project, the participant must consult with Korea Gap Year for safety reasons.
8) The project may be terminated forcibly if the participant falls under any of the following circumstances. Korea Gap Year shall not be liable for any disadvantages resulting therefrom; such responsibility lies entirely with the participant. Korea Gap Year will not refund any schedules or services the participant fails to attend as a result.
① If the participant requires individual medical or psychiatric care or is unable to participate in the project due to physical or mental health reasons, or if the participant fails to disclose prior physical or mental health conditions and is deemed to impede the smooth conduct of the project.
② If the participant fails to submit documents or information requested by Korea Gap Year that are necessary for the conduct of the project.
③ If the participant engages in actions that denigrate or show contempt toward the host country or its nationals.
④ If the participant discloses confidential information about the host region or the project operator learned through participation.
⑤ If the participant fails to comply with the laws and customs of the host country or region, or is expelled from the host country or region as a result.
⑥ Participation in political protests or events, participation in illegal activities, or unauthorized religious activities in the host country or region.
⑦ Conduct that damages the dignity of the Republic of Korea or brings dishonor to Korea Gap Year or its participants as a whole.
⑧ Failure to comply with the rules and regulations of the project host organization.
⑨ Failure to follow the guidance and supervision of the local project host organization and Korea Gap Year.
⑩ Engagement in unethical activities, wearing clothing inappropriate for the local culture or environment, or participating in the project in an insincere manner.
⑪ Actions that cause physical, psychological, or property damage to others.
⑫ Failure to inform the project host organization or affiliated organizations of plans or travel routes outside of project activities, resulting in problems.
⑬ Other cases in which the project host organization determines that a participant has harmed other participants or that the smooth operation of the project is no longer feasible.
⑭ In cases where a participant may be forcibly withdrawn from the project prior to normal completion, a Participant Evaluation Committee may be convened to assess the participant’s conduct during the project, interpersonal relations, and compliance with the host organization’s requirements. Decisions will be made based on the committee’s evaluation, and the participant must abide by the final decision. Upon request of a participant who has received disciplinary dismissal, one-on-one counseling may be provided after repatriation.
9) Participants shall diligently cooperate with Korea Gap Year’s requests and instructions to ensure the smooth progress of the project. Participants shall be liable to compensate Korea Gap Year and the project host organization for any damages caused to them by the participant’s intentional or negligent acts.
1) If a complaint or any unpleasant situation affecting project participation arises during the project, the participant must inform the project host organization and seek to resolve the matter directly with the host organization.
2) In the following cases, the participant may request mediation from Korea Gap Year:
① If the participant has sent a dispute-resolution inquiry to the project host organization and 72 business hours have passed without receiving a response.
② If no agreement can be reached.
3) When requesting mediation from Korea Gap Year, the participant agrees to accept that all decisions made by Korea Gap Year are final and understands that the final determination may not align with the participant’s desired outcome.
4) Korea Gap Year will conduct coordination and mediation regarding reservations, changes, difficulties, local facilities and environmental issues, and other matters between Korea Gap Year, the participant, and the project host organization only up to 15 days from the participant’s project start date; all processes will be conducted in writing. Any coordination arising from day 16 onward must be discussed directly between the participant and the project host organization.
5) All processes related to mediation will be finally determined based on supporting documents provided by the participant and the project host organization and Korea Gap Year’s internal regulations. Korea Gap Year may request additional materials as necessary. If the participant fails to submit requested documents within 72 hours, or unilaterally decides not to attend or cancels the project based on personal preference or notifies such decisions without separate discussion, the participant will be deemed to have waived mediation and any subsequent issues will be the participant’s sole responsibility.
6) Communications will be conducted via email and designated channels. Online chat, KakaoTalk and Facebook messages, text messages, and similar platforms are not accepted as appropriate means of filing objections.
1) For overseas gap year projects, it is generally recommended that participants hold a passport with at least two years of validity remaining after the end of the project period. Please verify the passport validity requirements shown in each project’s detailed description on the Korea Gap Year website (www.koreagapyear.com) and ensure you possess a passport that meets those requirements.
2) The effective date of the project application is the date of payment of the project fee. Therefore, when completing the project application, be sure to confirm the project participation dates and duration.
3) Any texts, photos, videos, online/offline posts, or materials provided to Korea Gap Year by the participant, and any host organization materials featuring the participant, may be used at any time for Korea Gap Year’s promotional and marketing purposes.
4) Travel advisory levels for overseas travel are classified into various stages, including Travel Caution, Travel Advisory, Evacuation Recommendation, and Travel Ban. Participants must review and confirm the travel advisory information issued by their country of nationality.

I acknowledge that I have fully understood the contents of the gap year project provided by Korea Gap Year, and I agree not to raise objections regarding any issues arising from situations I failed to verify. The participant’s rights and obligations under this participation agreement shall apply from the date of signing this agreement for the periods specified in the respective provisions. Any arrangements after project completion are at the participant’s discretion and the participant’s sole responsibility; please exercise due caution for your safety. After signing this agreement, cancellation of project participation due to a subsequent change of heart is not permitted.
Korea Gap Year Co., Ltd. (hereinafter referred to as "the Company") is committed to protecting your personal information and ensuring the rights of information subjects. The Company complies with relevant provisions of the "Personal Information Protection Act" and the standards of the "Act on Promotion of Information and Communications Network Utilization and Information Protection."
The Company has established a privacy policy to inform you of the purposes and methods by which the personal information you provide is used, and the measures taken to protect personal information. If the privacy policy is amended, it will be announced through the website's notice board.
1. Purpose of Collecting and Using Personal Information
(1) The Company collects the minimum necessary personal information from customers for business processing and will not use the provided personal information for any purpose other than the intended one without separate consent. The collected personal information is used for the following purposes.

- Delivery of notices, confirmation of intentions, securing a smooth communication path for handling complaints, informing about new services/new products or events, understanding access frequency, and generating statistics on service usage by members.
(2) The Company will notify customers in advance and seek their consent if the collection items, usage purposes, or uses of personal information change.
2. Items of Personal Information Collected and Methods of Collection
(1) The Company collects the personal information of customers through lawful procedures and legal standards, collecting only the minimum information necessary for service use. The collection and use are restricted by the Act on Promotion of Information and Communications Network Utilization and Information Protection and the Personal Information Protection Act. 3. Period of Retention and Use of Personal Information
Customer personal information is retained and used only for the period during which the Company provides services to the customer or for the period of dispute resolution. - For campaigns, promotions, or events, information may be provided to outsourced companies, with prior customer consent obtained specifying the type of information, purpose of use, and duration.
In exceptional cases where information is provided under legal requirements or investigative authority requests, the Company will notify the affected parties whenever possible. However, notification may not always be feasible due to legal constraints. The Company will make every effort to ensure information is not provided indiscriminately against the original purposes of collection and use.
5. Provision and Sharing of Personal Information
Customer personal information may be utilized for the purposes of providing customized gap year program guidance and consultation as follows:
(1) Personal information provided by customers who use the Company’s gap year programs and related services may be used to offer various customized services if the customer has consented to the provision and sharing of their personal information. This information may be used to promote and inform customers about the Company’s gap year programs and diverse tailored services.
(2) The Company may share personal information to develop new technologies or provide better services. In such cases, users will be informed prior to the collection or provision of information about the organizations or entities with whom their personal information will be shared, the type of information required, the reasons for its necessity, and the methods and duration of its protection and management. The Company will obtain consent from users before sharing any personal information and will not collect or share additional information without user consent.
6. Procedure and Method for Destroying Personal Information
The company, in principle, destroys collected personal information without delay once the purpose of its use and storage period has been achieved. The procedure and methods for destruction are as follows:
(1) Destruction Procedure
Personal information entered by customers for membership registration and service use is transferred to a separate database (or a separate document file in the case of paper) after the purpose has been achieved. It is then stored for a certain period according to internal policies and other relevant laws and regulations (refer to the retention and use period) before being deleted or destroyed. Personal information transferred to a separate database is not used for purposes other than retention, except as required by law.

9. Methods for Viewing, Correcting, and Deleting Personal Information
To view or correct your personal information, log in to the Company’s website, and click on [Personal Information Modification] in My Page to view or amend your information. Additionally, you may request viewing, correction, or deletion of personal information via email to the Customer Center or Personal Information Manager, and necessary actions will be taken after verifying your identity. The Company will not use or provide personal information until corrections are completed. If incorrect personal information has been provided to a third party, the Company will promptly notify the third party of the correction results to ensure that the correction is made. Personal information that is deleted or terminated upon request by the user or legal guardian will be processed according to the retention and usage periods specified in the "Retention and Usage Period of Collected Personal Information" and will not be used for other purposes.

To withdraw consent(Account Cancellation), you can request it via email to the Company's operational email (help@koreagapyear.com), or submit a written request to the Customer Center or the Personal Information Manager. The Company will promptly process your request.
11. Protection of Personal Information for Children Under 14
For children under the age of 14, services can be used through a legal representative (parent, legal guardian, or custodian), and only the minimum necessary personal information is collected for service execution. Legal representatives of children under 14 can request access to, correction of, or withdrawal of consent for the collection, use, provision, and outsourcing of the child’s personal information. Personal information of children under 14 will not be provided or shared with third parties without the consent of the legal representative.
12. Technical and Administrative Measures for Personal Information Protection
(1) Technical Measures
- Customer personal information is protected by passwords, and important data is secured through encryption of files and transmission data or the use of file-locking features.
- The Company adopts security devices (SSL or SET) that use encryption algorithms to safely transmit personal information over the network.
- To guard against hacking and other external intrusions, each server is equipped with intrusion prevention systems and vulnerability analysis systems to ensure comprehensive security.
(2) Administrative Measures
- The Company limits access to personal information to the minimum number of authorized personnel. This minimum number includes:
Individuals involved in program reservations/payments, service execution contracts, and related tasks.
Personnel directly engaged in marketing activities with users.
The Personal Information Manager and staff are responsible for personal information management.
Others who, due to their job duties, must handle personal information.
- At the time of employment, all staff are required to sign a security pledge to prevent information leaks by individuals. The Company has established internal procedures to audit compliance with the personal information processing policy.
- The transfer of duties related to personal information handling is conducted under strict security, with clear responsibilities defined for personal information incidents before and after employment.
- The Company is not responsible for issues arising from individual user errors or inherent internet risks. Users are responsible for managing their IDs and passwords appropriately.
- In the event of data loss, leakage, alteration, or damage due to internal staff errors or technical management issues, the Company will promptly inform you of the facts and seek appropriate measures and compensation.

These terms and conditions aim to regulate the rights, obligations, and responsibilities of the cyber mall operated by (Korean Gap Year Co., Ltd.) (hereinafter referred to as "Mall") and its users regarding the internet-related services (hereinafter referred to as "Services") provided by the Mall

① The "Mall" shall display the contents of these terms and conditions, the business name and representative’s name, the address of the business place (including the address where consumer complaints can be handled), phone number, fax number, email address, business registration number, mail order business registration number, and the person in charge of managing personal information so that users can easily find them on the initial service screen of the cyber mall. However, the contents of the terms and conditions can be provided through a linked screen.
② Before the user agrees to the terms and conditions, the "Mall" must provide a separate link or popup screen to help the user understand important contents such as the right of withdrawal, delivery responsibility, and refund conditions.
③ The "Mall" may amend these terms and conditions within the scope of not violating the relevant laws, such as the "Act on the Consumer Protection in Electronic Commerce," "Act on the Regulation of Terms and Conditions," "Electronic Document and Electronic Transaction Basic Act," "Electronic Financial Transactions Act," "Electronic Signatures Act," "Act on the Promotion of Information and Communication Network Utilization and Information Protection, etc.," "Act on the Regulation of Visiting Sales, etc.," and the "Consumer Basic Act.
④ When the "Mall" amends the terms and conditions, it must announce the application date and reasons for the amendment along with the current terms and conditions on the initial screen of the mall from 7 days before the application date to the day before the application date. However, if the amendment is disadvantageous to the user, the notice period must be at least 30 days, and the "Mall" must clearly compare the old and new terms for easy understanding.
⑤ If the "Mall" amends the terms and conditions, the amended terms and conditions will only apply to contracts concluded after the application date. For contracts concluded before the amendment, the previous terms and conditions will apply. However, if a user who has concluded a contract wants to apply the amended terms and conditions, they must send their intention to the "Mall" within the notice period for the amended terms and conditions, and upon obtaining the "Mall"'s consent, the amended terms and conditions will apply.
⑥ For matters not specified in these terms and conditions and the interpretation of these terms and conditions, the "Act on the Consumer Protection in Electronic Commerce," "Act on the Regulation of Terms and Conditions," guidelines for consumer protection in electronic commerce set by the Fair Trade Commission, and related laws or common practices will apply.
Article 4 (Provision and Change of Services)
① The "Mall" performs the following tasks:
1. Providing information about goods or services and concluding purchase contracts.
2. Delivering goods or services for which a purchase contract has been concluded.
3. Other tasks are determined by the "Mall."
② In case of out-of-stock goods or changes in technical specifications, the "Mall" may change the content of the goods or services to be provided under future contracts. In such cases, the "Mall" will immediately announce the changed content and provision date of the goods or services on the place where the current goods or services are posted.
③ If the "Mall" changes the content of the services contracted with the user due to out-of-stock goods or changes in technical specifications, it will immediately notify the user at an address where the user can be reached.
④ In the case mentioned above, the "Mall" will compensate for any damages suffered by the user. However, this does not apply if the "Mall" proves that it had no intent or negligence.
Article 5 (Suspension of Services)
① The "Mall" may temporarily suspend the provision of services in cases such as maintenance and inspection of information and communication equipment, replacement, malfunction, or interruption of communication.
② The "Mall" will compensate for damages incurred by users or third parties due to the temporary suspension of services. However, this does not apply if the "Mall" proves that it had no intent or negligence.
③ In cases such as a change in business items, abandonment of business, or merger with another company, if the "Mall" can no longer provide services, it will notify the users according to Article 8 and compensate consumers according to the conditions initially presented by the "Mall." If the "Mall" does not inform the compensation criteria, it will provide users with goods or cash equivalent to the value of mileage or accumulated points used in the "Mall."
Article 6 (Membership Registration)
① Users apply for membership by filling out member information in accordance with the registration form set by the "Mall" and expressing their intention to agree to these terms and conditions.
② “The "Mall" will register the applicant as a member unless the applicant falls under the following:
③ The membership registration contract is established when the "Mall"'s acceptance reaches the member
④ Members must inform the "Mall" of any changes in the registered details within a reasonable time by modifying their member information.
Article 7 (Member Withdrawal and Loss of Membership)
① Members may request withdrawal from the "Mall" at any time, and the "Mall" will process the withdrawal immediately.
② The "Mall" may restrict or suspend a member’s qualification in the following cases:
1. If false information was provided at the time of application.
2. If the member fails to pay the price of goods purchased or other debts related to the use of the "Mall" by the due date.
3. If the member disrupts other users' use of the "Mall" or infringes on the information of others, threatening the order of electronic commerce.
4. If the member engages in acts prohibited by laws or these terms and conditions or contrary to public morals.
③ If the same act occurs more than twice or the cause is not corrected within 30 days after the restriction or suspension of membership, the "Mall" may terminate the member’s qualification.
④ If the "Mall" terminates a member’s qualification, it will delete the member registration. In this case, the member will be notified, and at least 30 days will be given before the deletion to provide an opportunity to explain.
Article 8 (Notification to Members)
① When notifying a member, the "Mall" may use the electronic mail address designated by the member in advance.
② For notifications to an unspecified number of members, the "Mall" may substitute individual notifications by posting on the "Mall" bulletin board for at least one week. However, for matters significantly affecting the individual’s transactions, individual notifications will be made.
Article 9 (Purchase Application)
① Users of the "Mall" can apply for purchases by following these or similar methods, and the "Mall" must provide the following information clearly:
1. Search and select goods, etc.
2. Enter the recipient's name, address, phone number, email address (or mobile phone number), etc.
3. Confirm terms of the agreement, services with restricted right of withdrawal, and cost-related information such as shipping and installation fees
4. Agree to the terms of this agreement and confirm or refuse the items in subparagraph 3 (e.g., mouse click)
5. Confirm the purchase application of goods, etc., and agree to the "Mall's" confirmation
6. Select a payment method
② If the "Mall" needs to provide a buyer's personal information to a third party, it must inform the buyer of: 1) The recipient of the personal information, 2)The purpose of use by the recipient, 3) The items of personal information provided, 4) The retention and use period by the recipientand obtain consent.(The same applies if the details change.)
③ If the "Mall" entrusts the handling of the buyer's personal information to a third party, it must inform the buyer of: 1) The recipient of the personal information, 2) The details of the entrusted tasks, and obtain consent.(The same applies if the details change.) However, if it is necessary for fulfilling a service contract and related to the buyer's convenience, the "Mall" can inform via the privacy policy as prescribed by the Act on Promotion of Information and Communications Network Utilization and Information Protection, etc., without going through notification and consent procedures.
Article 10 (Formation of Contract)
① The "Mall" may refuse to accept purchase applications as described in Article 9 if any of the following apply. However, when entering into a contract with a minor, the "Mall" must inform that if consent from the legal representative is not obtained, the minor or the legal representative may cancel the contract.
1. If the application contains false information, omissions, or errors.
2. If a minor purchases goods or services prohibited by the Youth Protection Act, such as cigarettes or alcohol.
3. If accepting the purchase application is deemed to significantly hinder the "Mall's" technical operations.
② The contract is considered formed at the time when the "Mall's" acceptance reaches the user in the form of an order confirmation notice as described in Article 12, Paragraph 1.
③ The "Mall's" expression of acceptance must include confirmation of the user's purchase application, availability of the goods, and information on the correction or cancellation of the purchase application.
Article 11 (Payment Methods)
The payment methods for goods or services purchased from the "Mall" can be made using any of the following available methods. However, the "Mall" may not impose any additional fees or charges on the payment methods used by the user.
1. Various account transfers, including phone banking, internet banking, and mail banking
2. Various card payments, including prepaid cards, debit cards, and credit cards
3. Online bank transfers without an account
4. Payment by electronic currency
5. Payment upon receipt
6. Payment using mileage or points awarded by the "Mall"
7. “Payment using gift certificates contracted with or recognized by the "Mall"
8. Other electronic payment methods
Article 12 (Receipt Confirmation Notice, Purchase Application Changes and Cancellations)
① The "Mall" will send a receipt confirmation notice to the user upon receiving the user's purchase application.
② After receiving the receipt confirmation notice, the user may request changes or cancellations of the purchase application if there are discrepancies in the indication of intent. The "Mall" must promptly process such requests if made before shipment. However, if payment has already been made, the provisions regarding withdrawal of the application in Article 15 shall apply.
Article 13 (Supply of Goods, etc.)
① Unless otherwise agreed upon with the user regarding the timing of the supply of goods, the "Mall" will take necessary actions such as order production, packaging, etc., to deliver the goods within 7 days from the date of application. However, if the "Mall" has already received all or part of the payment for the goods, it will take such actions within 3 business days from the date of receipt of the payment. In such cases, the "Mall" will take appropriate measures to allow the user to confirm the supply procedures and progress of the goods.
② The "Mall" will specify the delivery methods, delivery costs by method, and the responsible party for each delivery method for the goods purchased by the user. If the "Mall" exceeds the agreed delivery period, it must compensate the user for any damages incurred due to the delay, unless the "Mall" can prove that it was without intent or negligence.
Article 14 (Refunds)
If the "Mall" is unable to deliver or provide the goods due to reasons such as stock shortages, it must promptly notify the user of the reason and, if it has received payment for the goods in advance, either refund the payment or take necessary measures for the refund within 3 business days from the date of receipt of the payment.
Article 15 (Withdrawal of Application, etc.)
①Users who have entered into a contract for the purchase of goods or services with the "Mall" may withdraw their application within 7 days from the date they receive a written document regarding the contract terms in accordance with Article 13, Paragraph 2 of the Act on the Protection of Consumers in Electronic Commerce, etc. (If the delivery of goods or services occurs later than the receipt of this document, the date of receipt of the goods or the start of the provision of services shall apply.) However, if there are specific provisions regarding withdrawal of the application in the Act on the Protection of Consumers in Electronic Commerce, etc., those provisions shall apply.
② Users cannot return or exchange goods under the following circumstances:
1. When the goods are lost or damaged due to the user's responsibility (However, if the packaging was damaged to check the contents of the goods, withdrawal of the application is allowed.)
2. When the value of the goods has significantly diminished due to the user's use or partial consumption
3. When the value of the goods has significantly diminished to the extent that resale is difficult due to the passage of time
4. When the packaging of the goods has been damaged the goods can be replicated with the same performance
③ In cases falling under Paragraph 2, Subparagraphs 2 to 4, if the "Mall" did not clearly state in advance the fact that withdrawal of application may be restricted or did not take measures such as providing trial products, the user's right to withdraw the application is not restricted.
④ Notwithstanding the provisions of Paragraphs 1 and 2, if the goods differ from the content of the advertisement or the contract, the user may withdraw the application within 3 months from the date of receiving the goods, or within 30 days from the date the user becomes aware of or could reasonably be expected to become aware of the discrepancy.
Article 16 (Effects of Withdrawal of Application, etc.)
① The "Mall" will refund the payment for the goods within 3 business days upon receiving the returned goods from the user. If the "Mall" delays the refund, it must pay delay interest calculated by multiplying the delay period by the interest rate prescribed in Article 21-2 of the Enforcement Decree of the Act on the Protection of Consumers in Electronic Commerce, etc.
② When refunding the payment, if the user has made the payment using a credit card or electronic currency, the "Mall" must promptly request the provider of the payment method to suspend or cancel the charge for the goods.
③ In the case of withdrawal of the application, the user is responsible for the cost of returning the goods. The "Mall" will not claim any penalty or damages from the user due to withdrawal. However, if the goods differ from the advertisement or contract, the "Mall" will bear the cost of returning the goods.
④ If the user has paid for shipping costs when receiving the goods, the "Mall" must clearly indicate who will bear these costs in the case of a withdrawal of the application.
Article 17 (Personal Information Protection)
① The "Mall" collects only the minimum amount of personal information necessary for providing services when collecting users' personal information. The following items are mandatory, while other items are optional:
1. Name
2. Resident registration number (for members) or foreign registration number
3. Address
4. Phone number
5. Desired ID (for members)
6. Password (for members)
7. Email address (or mobile phone number)
② The "Mall" does not collect information required for the fulfillment of purchase contracts during membership registration. However, this does not apply in cases where minimal specific personal information is required for compliance with legal obligations before the purchase contract.
③ When collecting and using personal information, the "Mall" will notify the user of the purpose and obtain consent.
④ The "Mall" may not use collected personal information for purposes other than those for which it was collected. If a new purpose arises or if the information is to be provided to a third party, the "Mall" will notify the user of the new purpose and obtain consent at the time of use or provision. Exceptions to this include:
1. Providing minimal user information (such as name, address, and phone number) to delivery companies for delivery purposes
2. Providing information in a form that does not identify individuals for statistical, academic research, or market research purposes
3. Necessary information for payment settlement related to the transaction of goods
4. Verification of identity to prevent fraud
5. Legal requirements or other unavoidable reasons stipulated by law
⑤ If the "Mall" must obtain user consent under Paragraphs 2 and 3, it must specify or notify the user of the following items as stipulated in Article 22, Paragraph 2 of the Act on Promotion of Information and Communications Network Utilization and Information Protection, etc.: the identity of the personal information manager (affiliation, name, and phone number, and other contact details), the purpose of collecting and using the information, and information regarding third-party provision (recipient, purpose, and content of the information provided). Users may withdraw their consent at any time.
⑥ Users can request to view and correct errors in their personal information held by the "Mall" at any time. The "Mall" is obligated to take necessary actions promptly. If a user requests correction of errors, the "Mall" will not use the personal information until the correction is made.
⑦ The "Mall" will limit the number of people handling personal information to the minimum necessary for privacy protection and is responsible for any damages caused by loss, theft, leakage, unauthorized third-party provision, or tampering with users' personal information, including credit card and bank account information.
⑧ The "Mall" or any third party receiving personal information from the "Mall" will destroy the personal information promptly once the purpose of collection or provision is achieved.
⑨ The "Mall" will not pre-select consent for the collection, use, or provision of personal information. Additionally, it will clearly specify any services that are restricted if users refuse to consent to the collection, use, or provision of non-essential personal information. The "Mall" will not limit or refuse service provisions, such as membership registration, due to the refusal of consent for the collection, use, or provision of non-essential personal information.
Article 18 (Obligations of the "Mall")
① The "Mall" shall not engage in any acts prohibited by law or these terms and conditions or contrary to public morals and customs. The "Mall" shall make every effort to continuously and reliably provide goods and services as stipulated by these terms and conditions.
② The "Mall" must have a security system in place to protect users' personal information (including credit information) to ensure that users can safely use the internet services.
③ If the "Mall" engages in unfair representation or advertising practices as defined in Article 3 of the Act on Fairness in Advertising and Labeling and causes harm to users, the "Mall" is responsible for compensating the damages. However, this does not apply if the "Mall" can prove that there was no intent or negligence.
④ The "Mall" will not send unsolicited commercial electronic mail to users.
Article 19 (Obligations Regarding Member ID and Password)
① Except for cases described in Article 17, the responsibility for managing IDs and passwords lies with the member.
② Members must not allow a third party to use their ID and password.
③ If a member becomes aware that their ID or password has been stolen or is being used by a third party, they must immediately notify the "Mall" and follow the instructions provided by the "Mall."
Article 20 (User Obligations)
Users must not engage in the following actions:
1. Registering false information during application or changes.
2. Using another person’s information without authorization.
3. Altering information posted by the "Mall".
4. Sending or posting information (such as computer programs) other than what is specified by the "Mall".
5. Infringing upon the copyrights or other intellectual property rights of the "Mall" or third parties.
6. Damaging the reputation or disrupting the operations of the "Mall" or third parties.
7. Publicly disclosing or posting obscene or violent messages, images, voices, or any other information that violates public morals and customs.
Article 21 (Relationship Between Linked and Linked-to "Malls")
① When a higher-level "Mall" and a lower-level "Mall" are connected through hyperlinks (e.g., text, images, and videos), the former is referred to as the "linked Mall" (website) and the latter as the "linked-to Mall" (website).
② If the "linked Mall" clearly states on its initial screen or in a pop-up at the time of linking that it does not take responsibility for the transactions made by users with the goods or services provided by the "linked-to Mall," then it will not be liable for those transactions.
Article 22 (Ownership of Copyright and Usage Restrictions)
① Copyright and other intellectual property rights for materials created by the "Mall" belong to the "Mall."
② Users may not use information obtained from the "Mall" for commercial purposes, such as reproducing, transmitting, publishing, distributing, broadcasting, or otherwise utilizing the information without prior consent from the "Mall."
③ When the "Mall" uses copyright owned by users according to an agreement, it must notify the respective user.
Article 23 (Dispute Resolution)
① The "Mall" will establish and operate a compensation handling organization to reflect users' legitimate opinions or complaints and process compensation for damages.
② The "Mall" will prioritize handling complaints and opinions submitted by users. If prompt resolution is difficult, the "Mall" will immediately notify the user of the reason and schedule for processing.
③ In case of disputes related to electronic commerce between the "Mall" and users, users can request mediation from the Fair Trade Commission or a dispute resolution agency designated by the provincial governor.
Article 24 (Jurisdiction and Governing Law)
① Lawsuits arising from electronic commerce disputes between the "Mall" and users shall be under the exclusive jurisdiction of the district court that has jurisdiction over the user's address at the time of filing. If the user's address is not available or if the user resides abroad, the case shall be filed in the court with jurisdiction under the Civil Procedure Act.
② Korean law shall apply to electronic commerce lawsuits filed between the "Mall" and users.

Notice of Korea Gap Year Project Refund Policy
The refund policy is intended to protect project operating organizations from losses arising from unilateral or sudden cancellations (including non-attendance, unauthorized departure, loss of contact, etc.) and changes by participants.
It aims to protect the rights and interests of participants and project operating organizations and to ensure a fair business practice. Prior to booking a project, you must review the Korea Gap Year special terms and applicable regulations.
1) Domestic and International Project Refund Policy
All gap year projects are subject to refund policies established by the project operating organization/entity. These constitute standardizedthreetypes of refund policies (Standard, Strict, Very Strict)
policies. We strongly recommend reviewing the refund policy applicable to the project before making a reservation. The refund policy applicable to each project can be found on the project details page
where it can be viewed.

① Korea Gap Year shall not be liable for any participant losses resulting from the participant's unilateral cancellation (including non-attendance, unauthorized departure, loss of contact, change of mind, accidents, incidents, etc.) or changes.
②If a refund is issued after the participant's project participation has been confirmed, the refund will be made after deducting the cancellation fee and applicable taxes.
③ The time of project participation confirmation is based on the date and time Korea Gap Year sends the project participation confirmation email to the participant; the project start date and remaining days are determined from 00:00 (Korean Standard Time) on the relevant date.
④If a participant cancels the project for personal reasons after the project has been confirmed, a cancellation fee may be charged for the non‑refundable portion of any prepaid amounts in addition to the refund policy established by the project operating organization.
⑤ The project registration fee is non‑refundable after participation in the project has been confirmed.
2) Additional Provisions Regarding Participant Cancellations and Changes
① After payment of the project fee, project details (start date, duration, options, etc.) may be changed once. Administrative fees will apply depending on the timing of the change. Such administrative fees must be paid each time an individual participant requests a change.

② If additional costs (project fees, remittance fees, ultra‑urgent package fees, cancellation of discounts, etc.) arise due to project cancellation or changes, the participant shall be responsible for such additional costs.
③ The availability of cancellations, refunds, and changes cannot be guaranteed in all cases; depending on the project, cancellations, refunds, and changes may not be possible. Whether a project's contents can be changed is subject to consultation between the project operating organization and Korea Gap Year, and in most cases changes are not possible after participation in the project has been confirmed.
④ If the project duration is shortened, refunds for the cancelled period shall follow one of three standardized refund policies (Standard, Strict, Very Strict).
⑤ If, after applying and completing payment, the participant is unreachable for more than 72 hours without prior consultation, the participant will be deemed to have no intention to proceed with the project and the project will be automatically cancelled. In such cases, the project fee (including any liability fee) will not be refunded and the participant may be restricted from participating in future gap year projects.
⑥ If an urgent application is made less than 21 days before the project start date, some schedules and services may not be provided. No refunds will be issued for such omissions.
⑦ If an application is made with 19 days or fewer remaining before the start date, an ultra‑urgent package fee must be paid. This fee covers administrative costs for urgent participation and is non‑refundable regardless of whether the project is ultimately confirmed.
⑧ If the schedule is changed after participation has been confirmed, subsequent project cancellations and schedule changes are not permitted.
3) Conditions for Cancellation and Changes by the Project Operating Organization
① If the project operating organization cancels the project prior to its start, the project fees will be refunded. The Company may, with the participant's consent, modify the project once without additional service or change fees. Any additional costs arising from such project changes shall be borne by the participant.
② For the safety and protection of participants, the Company reserves the right to cancel project participation if the objectives of the project cannot be achieved due to natural disasters, armed conflict, government orders, or other economic, social, or physical crises affecting the project operating organization or the region. In such cases, the Company may change the project once without additional service or change fees. Any additional costs resulting from such project changes shall be borne by the participant.
③ If, due to local circumstances (natural disasters, armed conflict, government orders), the project organization and the participant mutually agree that a change is unavoidable, the project contents may be amended. If such changes result in increased project costs, the participant must settle the additional amount within 10 days after project completion.
④ The project schedule, activities, and services may change or be reduced due to local conditions (weather, transportation, natural disasters, armed conflict, government orders, terrorism, economic/social/physical crises, etc.), outdated information, or errors. Cancellations or refunds resulting from these circumstances are not possible; responsibility for such changes lies with the project operating organization.
⑤ Refund eligibility may vary according to travel advisories issued in the Ministry of Foreign Affairs' Overseas Safety Information.
4) Cancellation, Refund, and Change Procedures
1. Requests for project cancellations, refunds, and changes can only be submitted through the Korea Gap Year website, and the entire process will be conducted in accordance with the prescribed procedures.Applications for project cancellations, refunds, and changescan be submitted on the Korea Gap Year website.
2.All cancellation, refund, and changerequest dates and times shall be based on Korea Gap Year’s weekday business hours (Mon–Fri 10:00–17:00).Cancellations, refunds and changesIf the submission date falls on a Saturday, Sunday, or public holiday, the request must be submitted during weekday business hours. Requests submitted after weekday business hours or on Saturdays, Sundays, or public holidaysfor cancellations, refunds and changeswill be considered received and processed on the next weekday business day.
5) Refund Policy for Projects Subject to a Liability Fee
1. Participants in projects subject to a liability fee must familiarize themselves with the liability fee provisions, and any failure to do so and any resulting issues shall be
the sole responsibility of the participant.
2. Liability fees paid by participants will be refunded in full in accordance with procedures after confirmation of normal participation in the project, completion, and submission of the participant report.
3. For projects subject to a liability fee, if a participant cancels or withdraws from the project for personal reasons after applying and making payment, the liability fee and participation fee are non‑refundable.
4. For projects subject to a liability fee, participants assist the activities of local institutions and receive corresponding compensation (such as activity fees or provision of living conveniences, which vary by local institution).
Participants are obliged to compensate for any damage arising from failure to comply with the rules and regulations of the project-operating institution·organization during participation, and the project may be forcibly terminated.
Korea Gap Year shall bear no responsibility for this.
5. If a participant takes part in a project with financial support and fails to achieve 100% attendance, the liability fee is non‑refundable; having agreed to this condition prior to confirmation of participation,
the participant may not raise any objections in this regard.
6. For projects subject to a liability fee, project details and provided items may vary according to local and project-operating institution circumstances (such as weather, transportation, natural disasters, war, government orders, terrorism, economic or social/
physical crises, etc.), and after the project has commenced, all schedules and details are under the authority and responsibility of the local project operating institution·organization.
7. If the project cannot proceed or is suspended due to Korea Gap Year’s fault, a full refund will be issued. However, this shall not apply if Korea Gap Year proves that there was no willful misconduct or negligence on its part.

Notice Regarding Issuance of Cash Receipts
The amount paid by the participant shall consist of the supply cost determined by the local institution, fees for basic services and use of goods, overseas remittance fees, the Korea Gap Year service fee (approximately KRW 200,000 for language projects and approximately KRW 350,000 for overseas projects; exceptions may occur depending on the project and in accordance with the regulations of the overseas local institution), any discount coupons applied to the product, and any option details for optional products.
Accordingly, the proof of purchase issued to the participant (such as a tax invoice or cash receipt) shall be issued for the amount corresponding to the Korea Gap Year service fee and applied discount coupons after excluding the supply cost determined by the local institution, service and goods usage fees, overseas remittance fees, and the like (i.e., the net Korea Gap Year service usage amount) [pursuant to Articles 126-2 and 126-3 of the Restriction of Special Taxation Act and Basic Ruling 17-0-10 of the Value-Added Tax Act].If you wish to receive a cash receipt, please contact help@koreagapyear.com and provide the recipient’s name; the recipient’s telephone number (or resident registration number or business registration number); the name of the project in which the participant is enrolled; and the email address to which the information should be sent.

Korea Gap Year Co., Ltd. (hereinafter referred to as "the Company") is committed to protecting your personal information and ensuring the rights of information subjects. The Company complies with relevant provisions of the "Personal Information Protection Act" and the standards of the "Act on Promotion of Information and Communications Network Utilization and Information Protection."
The Company has established a privacy policy to inform you of the purposes and methods by which the personal information you provide is used, and the measures taken to protect personal information. If the privacy policy is amended, it will be announced through the website's notice board.
1. Purpose of Collecting and Using Personal Information
(1) The Company collects the minimum necessary personal information from customers for business processing and will not use the provided personal information for any purpose other than the intended one without separate consent. The collected personal information is used for the following purposes.
① Execution of contracts related to service provision and settlement of fees arising from service provision

- Verification of identity and personal identification in accordance with customer management and service usage, prevention of improper use by delinquent members and unauthorized use, confirmation of membership intention, restriction on usage and number of uses, age verification, confirmation of legal representative's consent for collection of personal information of children under 14 years of age, record preservation for dispute resolution, handling complaints and civil affairs, delivery of notices, etc
③ Others
- Delivery of notices, confirmation of intentions, securing a smooth communication path for handling complaints, informing about new services/new products or events, understanding access frequency, and generating statistics on service usage by members.
(2) The Company will notify customers in advance and seek their consent if the collection items, usage purposes, or uses of personal information change.
2. Items of Personal Information Collected and Methods of Collection
(1) The Company collects the personal information of customers through lawful procedures and legal standards, collecting only the minimum information necessary for service use. The collection and use are restricted by the Act on Promotion of Information and Communications Network Utilization and Information Protection and the Personal Information Protection Act. Personal information is collected through website membership registration, application forms, written forms, etc.

3. Period of Retention and Use of Personal Information
Customer personal information is retained and used only for the period during which the Company provides services to the customer or for the period of dispute resolution. If there is a request for deletion or withdrawal of consent, the information will be destroyed without delay. However, if retention is necessary according to the provisions of relevant laws, it will be securely retained for the period specified by the relevant laws as follows:

The Company uses customers' personal information within the scope of the purposes notified in the "Collection Purpose and Use of Personal Information" section and the service terms and conditions and does not use or provide it beyond this scope without customer consent. In particular, the following cases require special attention in the use and provision of personal information:
(1) The Company may provide or share customers' personal information with affiliated companies to offer better services. In such cases, customers will be individually notified by written or electronic mail about the affiliation partner, the personal information items to be provided or shared, the reason for providing or sharing the information, and the period and method of protection and management. Consent will be sought beforehand, and if customers do not agree, their information will not be provided or shared with the affiliate. (3) Transfer of business in the event of a sale, merger, or transfer of all or part of the business, or in the case of succession through inheritance or merger, the Company will notify customers to ensure their rights related to personal information are protected. The Company provides personal information as detailed below to enhance service quality. The Company does not disclose customer personal information to unrelated companies or institutions. However, there are exceptions where personal information may be shared as follows:
- When requested by relevant authorities for investigative purposes under laws such as the Criminal Procedure Act, the Act on Real Name Financial Transactions and Confidentiality, and the Act on the Use and Protection of Credit Information.
- When provided in a non-identifiable form for statistical, academic research, or market research purposes to advertisers, partners, and research organizations
- When requested in accordance with procedures stipulated by relevant laws.
- When requested by relevant institutions for certified superior products by the Ministry of Culture and Tourism.
- When necessary for settlement of fees related to service provision, or in cases where the terms of use or operating principles of Korea Gap Year are violated.
- When deemed necessary provide personal information to take legal action for mental or material damage caused by using Korea Gap Year services.
- For campaigns, promotions, or events, information may be provided to outsourced companies, with prior customer consent obtained specifying the type of information, purpose of use, and duration.
In exceptional cases where information is provided under legal requirements or investigative authority requests, the Company will notify the affected parties whenever possible. However, notification may not always be feasible due to legal constraints. The Company will make every effort to ensure information is not provided indiscriminately against the original purposes of collection and use.
5. Provision and Sharing of Personal Information
Customer personal information may be utilized for the purposes of providing customized gap year program guidance and consultation as follows:
(1) Personal information provided by customers who use the Company’s gap year programs and related services may be used to offer various customized services if the customer has consented to the provision and sharing of their personal information. This information may be used to promote and inform customers about the Company’s gap year programs and diverse tailored services.
(2) The Company may share personal information to develop new technologies or provide better services. In such cases, users will be informed prior to the collection or provision of information about the organizations or entities with whom their personal information will be shared, the type of information required, the reasons for its necessity, and the methods and duration of its protection and management. The Company will obtain consent from users before sharing any personal information and will not collect or share additional information without user consent.
6. Procedure and Method for Destroying Personal Information
The company, in principle, destroys collected personal information without delay once the purpose of its use and storage period has been achieved. The procedure and methods for destruction are as follows:
(1) Destruction Procedure
Personal information entered by customers for membership registration and service use is transferred to a separate database (or a separate document file in the case of paper) after the purpose has been achieved. It is then stored for a certain period according to internal policies and other relevant laws and regulations (refer to the retention and use period) before being deleted or destroyed. Personal information transferred to a separate database is not used for purposes other than retention, except as required by law.
(2) Destruction Method
- Personal information printed on paper: Destroyed using a shredder.
- Personal information stored in electronic file format: Deleted using technical methods that ensure the information cannot be recovered or reproduced
7. Installation, Operation, and Refusal of Automatic Personal Information Collection Devices
To provide personalized services, the Company uses ‘cookies’ and similar devices to store and retrieve your information. A cookie is a small amount of information transmitted from the website to your computer browser. When you log in to the website, the server reads the contents of the cookie from your browser and uses it to provide services based on additional information found on your computer. Cookies are used to offer useful and convenient personalized services. Cookies are employed for the following purposes:

- When registering as a member, cookies are set during login and deleted upon logout. They are used to verify the login status.
- Cookies are used to analyze access frequency, visit duration, and usage patterns of members and non-members, to understand user preferences and interests, track behavior, and conduct targeted marketing and personalized service provision..

(2) How to Refuse Cookies For example, to refuse cookies, you can configure your web browser settings to accept all cookies, prompt you for each cookie, or reject all cookies. Note, however, that refusing cookies may hinder the provision of services.
8. Rights and Duties of the Personal Information Subject
Personal information subjects have the following rights related to the protection of their personal information:
- Request for access to personal information (including information on the source, purpose of processing, and usage history of personal information collected from the subject or others).
- Request for correction of errors.
- Request for deletion of personal information.
- Request to cease processing.
Rights related to the above items can be exercised through written communication or email to the Company, and the Company will act promptly. The personal information subject must ensure that they do not infringe upon the personal information or privacy of themselves or others beyond the scope of applicable personal information protection laws.
9. Methods for Viewing, Correcting, and Deleting Personal Information
To view or correct your personal information, log in to the Company’s website, and click on [Personal Information Modification] in My Page to view or amend your information. Additionally, you may request viewing, correction, or deletion of personal information via email to the Customer Center or Personal Information Manager, and necessary actions will be taken after verifying your identity. The Company will not use or provide personal information until corrections are completed. If incorrect personal information has been provided to a third party, the Company will promptly notify the third party of the correction results to ensure that the correction is made. Personal information that is deleted or terminated upon request by the user or legal guardian will be processed according to the retention and usage periods specified in the "Retention and Usage Period of Collected Personal Information" and will not be used for other purposes.

10. Withdrawal of Consent for Collection/Use/Provision of Personal Information
You may withdraw your consent for the collection, use, and provision of personal information at any time after registration. To withdraw consent(Account Cancellation), you can request it via email to the Company's operational email (help@koreagapyear.com), or submit a written request to the Customer Center or the Personal Information Manager. The Company will promptly process your request.
11. Protection of Personal Information for Children Under 14
For children under the age of 14, services can be used through a legal representative (parent, legal guardian, or custodian), and only the minimum necessary personal information is collected for service execution. Legal representatives of children under 14 can request access to, correction of, or withdrawal of consent for the collection, use, provision, and outsourcing of the child’s personal information. Personal information of children under 14 will not be provided or shared with third parties without the consent of the legal representative.
12. Technical and Administrative Measures for Personal Information Protection
(1) Technical Measures
- Customer personal information is protected by passwords, and important data is secured through encryption of files and transmission data or the use of file-locking features.
- The Company adopts security devices (SSL or SET) that use encryption algorithms to safely transmit personal information over the network.
- To guard against hacking and other external intrusions, each server is equipped with intrusion prevention systems and vulnerability analysis systems to ensure comprehensive security.
(2) Administrative Measures
- The Company limits access to personal information to the minimum number of authorized personnel. This minimum number includes:
Individuals involved in program reservations/payments, service execution contracts, and related tasks.
Personnel directly engaged in marketing activities with users.
The Personal Information Manager and staff are responsible for personal information management.
Others who, due to their job duties, must handle personal information.
- At the time of employment, all staff are required to sign a security pledge to prevent information leaks by individuals. The Company has established internal procedures to audit compliance with the personal information processing policy.
- The transfer of duties related to personal information handling is conducted under strict security, with clear responsibilities defined for personal information incidents before and after employment.
- The Company is not responsible for issues arising from individual user errors or inherent internet risks. Users are responsible for managing their IDs and passwords appropriately.
- In the event of data loss, leakage, alteration, or damage due to internal staff errors or technical management issues, the Company will promptly inform you of the facts and seek appropriate measures and compensation.
