Application Processing Terms and Conditions

Korea Gap Year Co., Ltd. shall handle all application processing services in accordance with these Terms in order to protect participants.

 

Article 1 (Purpose)

These Terms are intended to prescribe the rights and obligations between the project processing company (hereinafter referred to as the "Provider") and the person who requests project processing (hereinafter referred to as the "Participant").

 

Article 2 (Definitions)

  1. "Korea Gap Year" means Korea Gap Year Co., Ltd.
  2. "Gap Year Project" means activities that may be undertaken during a gap year, such as volunteer work, work experience, travel, education, mentoring, and camps.
  3. "Participant" means a person who uses intermediary services provided by Korea Gap Year under Article 2(4) of the Act on Consumer Protection in Electronic Commerce, etc.
    An individual or legal entity participating in a Gap Year Project.
  4. "Project Operating Organization" means domestic or international institutions and organizations that have entered into a brokerage agreement with Korea Gap Year pursuant to Article 2(3) and directly operate Gap Year Projects on-site domestically and abroad,
    including individuals (NGOs, agencies, corporations, schools, organizations, etc.).


Article 3 (Formation of Contract)

A project contract shall be deemed concluded when the Participant completes and submits the participation application prescribed by the Provider and indicates intent to participate by paying the full project fee or depositing a contract deposit.

 

Article 4 (Scope of Project Processing Services)

  1. Provision of project-related information (procedures; information on project operating organizations; activity process; local living information; related costs; schedules; etc.).
  2. Review of participation application.
  3. Dispatch of participation application and related documents.
  4. Participant processing and related services.

 

Article 5 (Composition of Project Fees)

  1. Project fees consist of processing fees for the services provided by the Provider and costs payable to the project operating organizations; the specific contents of the services and processing fees are as follows.
  • Provision of project-related information.
    Review and dispatch of participation application.
    Registration and placement fees.
    Taxes and public charges.
    Telecommunication costs such as fax and international calls.
    • Overseas remittance fee
    • Overseas work experience certificates, etc.
  1. Fees payable to the project operating organization vary by project, and details of amounts payable to the project operating organization shall be provided in the "Costs - Included Items" category on the project information page.


Article 6 (Payment of Project Fees)

  1. Project fees are payable by the participant to the operator and, in principle, shall be prepaid in a single lump-sum payment.
    However, if agreed between the participant and the operator, the participant may pay a deposit of a specified amount and proceed with the project arrangements; in such case, the deposit shall be non-refundable.
  2. When undertaking the project, any fees payable to the project operating institution and any additional local payments that may arise thereafter shall be paid through the operator.
  3. When the participant pays the project fees to the operator, the exchange rate applied shall be the operator's announced exchange rate on the date the participant transfers the funds to the operator. Thereafter, the company shall be responsible for exchange rate fluctuations when remitting project fees to the project operating institutions, and the participant shall not raise objections thereto. However, after project participation is confirmed, if project fees
    increase by 5% or more, or if the foreign exchange rate applied to the project fees increases by 2% or more, the operator may charge the participant for the excess amount up to the amount of the increase.

 

Article 7 (Procedure Period and Postponement)

  1. If a participant must postpone procedures during the processing period for personal reasons, the participant shall pay the change fee in accordance with the attached Cancellation and Refund Policy and complete a change application form and
    submit it to the operator; upon the operator's confirmation and approval, the procedures may be postponed for a period of up to three months, and all processes shall be conducted in writing.
  2. If, during the procedure period, contact with the participant is lost for more than 72 hours without prior consultation, the participant shall be deemed to have no intention to proceed and the procedures shall be automatically suspended; if six months elapse from the procedure reference date, all payments already made shall accrue to the operator and the participant may not raise objections thereto. The procedure reference date means the date on which a mutual contract is formed pursuant to Article 3 of the Procedure Agency Terms.


Article 8 (Obligation to Be Informed of Project Information)

  1. The operator may provide participants with Korea Gap Year departure-related information to assist the participant's smooth local adjustment. However, this information is provided for reference purposes only, and the participant may not hold the operator liable for problems arising from errors or the information not being up to date.
  2. The operator shall not be liable for problems arising from the participant's failure to review the information provided by the operator. Therefore, the participant is strongly encouraged to familiarize themselves with the information prior to participating in the project.
  3. All materials provided by the operator are the operator's proprietary property; unauthorized reproduction and sharing without the operator's consent are prohibited and may result in civil and criminal penalties. Korea Gap Year provides the following information, which may be reduced or modified depending on timing and project.
  • Information on project operating institutions and organizations
    • Project activities and schedule
    • Gap Year plans and local project planning
    • Departure/arrival and local pickup information
    • Country, safety, and travel information
    • Other necessary information and comprehensive training


Article 9 (Obligations of the Operator)

  1. In performing procedural services, the operator shall provide accurate information and materials based on facts and shall deliver the contract and terms and conditions. However, in the following cases, the contract and terms and conditions shall be deemed to have been delivered.

a. Where the participant agrees to the contents of the contract, terms, and project regulations provided through electronic networks (such as the Internet) and applies to conclude the contract, and the operator notifies the participant of its acceptance by means of the electronic network or mechanical devices.

b. Where the participant agrees to the contents of the contract, terms, and project regulations provided by the operator via facsimile or other mechanical devices and
the operator notifies the participant of its acceptance by means of an electronic network or mechanical devices in response to a fax or postal mail sent by the participant applying to conclude the contract.

  1. If the operator imposes additional procedural fees and charges such costs, the operator shall present supporting documentation and explain the reasons therefor.


Article 10 (Participant’s Obligations)

  1. The Participant shall pay all fees associated with the agency services within the specified period so that the Operator can carry out the procedural agency work smoothly.
  2. The Participant must submit all documents necessary for the agency procedures to the Operator within the designated period; documents submitted to the Operator must be truthful and lawfully issued. If they are untrue or not lawfully issued, the Operator shall immediately suspend the procedures, and any resulting issues shall be the responsibility of the Participant.
    As all responsibility rests with the Participant, the Operator shall have no obligation to refund any fees already paid.
  3. As a rule, the Participant shall personally prepare all documents required for the participation procedures, and the Operator may request corrections or supplementation from the Participant. (*Participation consent form attached)
  4. During the project participation period, the Participant shall comply with the regulations established by the project operating organization; if, due to the Participant’s negligence, the project operating organization notifies suspension of participation or seeks compensation for damages, the Participant shall bear full responsibility.

 

Article 11 (Contract Termination and Refund Standards)

  1. The Participant may request early termination of the agency contract for personal reasons; in such cases refunds, if any, shall be processed in accordance with the status of the procedures and the attached cancellation and refund policy.
  2. If the contract is terminated early and a refund is warranted, the Operator shall settle (refund) the amount within 60 days from the date the overseas institution issues the refund.

 

Article 12 (Operator’s Exemption of Liability)

The Operator shall not bear any civil or criminal liability in the following cases unless there is a separate attributable fault on the part of the Operator.

  1. Where the documents submitted by the Participant are inconsistent with the facts or are not legally valid, resulting in a disadvantage to the Participant.
  2. Where visa issuance or entry is denied due to circumstances attributable to the Participant.
  3. Where the Participant’s desired project is not permitted due to the Participant’s fault, such as insufficient language ability or changes/cancellation of airline tickets.



제13조(분쟁조정기구)

  1. The Operator shall operate a dispute mediation body to mediate disputes between participants or between participants and third parties.
  2. When mediating disputes through the dispute mediation body, the Operator shall act impartially as a neutral third party.
  3. Members shall respond to the mediation of the dispute mediation body in good faith.

 

Article 14 (Resolution of Disputes)

1. The Operator shall establish or operate a dispute mediation body in accordance with its internal policies to reflect legitimate opinions or complaints raised by Participants and to handle compensation for any damages.

  1. The Operator shall give priority to handling complaints and opinions submitted by Participants. However, if prompt handling is difficult, the Operator shall notify the Participant of the reasons and the processing schedule.
  2. If a user files for relief in connection with an e-commerce dispute arising between the Operator and a Participant, the matter may be subject to mediation by a dispute resolution agency commissioned by the Fair Trade Commission or the metropolitan/provincial governor.
  3. Korea Gap Year shall handle adjustment and mediation matters—such as reservations, changes, difficulties, local facility and environmental issues, and other related matters—among Korea Gap Year, the Participant, and the project operating organization only for up to 15 days from the project application date (or from the date when 50% or more of the project fee is paid). All processes within this period shall be conducted in writing. From day 16 onward, any mediation shall be discussed directly between the Participant and the project operating organization.


Article 15 (Termination of Procedural Services)

1. The procedural agency services shall terminate when the Participant receives acceptance of participation from the project operating organization. However, if a dispute arises between the Participant and the project operating organization during the Participant’s participation period, the Operator may assist the Participant in resolving the dispute. The Participant shall fully understand that the final conclusion of such a dispute may
not necessarily align with the Participant’s expectations.

  1. After the project has commenced, all schedules and details are under the authority and responsibility of the project operating organization.
  2. The Operator shall not be liable for any disasters, intentional acts, personal illnesses, injuries, or other incidents not attributable to the Project that occur during the Participant's personal leisure time within the Project period or after the conclusion of the Project, following the completion of the Operator's administrative procedures.


Article 16 (Jurisdiction and Governing Law)

  1. Any litigation concerning e-commerce disputes arising between the Operator and the Participant shall be subject to the exclusive jurisdiction of the district court having jurisdiction over the Operator's address.
  2. The laws of the Republic of Korea shall apply to e-commerce litigation brought between the Operator and the Participant.


Article 17 (Special Provisions)


  1. In relation to individual or special products, where there are justifiable reasons and the Participant has been informed in advance and has given written consent, terms different from these Terms may apply.
  2. Matters not specified in these Terms shall be governed by the Framework Act on Electronic Commerce, the Digital Signature Act, the Act on Consumer Protection in Electronic Commerce, other relevant statutes, and the standard domestic and international travel terms and conditions.

[Appendix] Korea Gap Year Project Participation Consent Form

  1. Obligations

1) The Participant shall diligently participate in the Gap Year Project and shall assume responsibility for achieving his or her personal objectives for project participation.

2) Korea Gap Year shall make its best efforts to ensure fair transactions between Participants and Project operating institutions/organizations and to provide efficient services.

 

  1. Definitions

1) "Korea Gap Year" means the Korea Gap Year corporation.

2) "Gap Year Project" means activities that may be undertaken during a gap year, including volunteer work, job experience placements, travel, education, mentoring, and camps.

3) "Participant" means an individual or legal entity that participates in a Gap Year Project by using intermediary services provided by Korea Gap Year as defined in Article 2(4) of the Act on Consumer Protection in Electronic Commerce.

4) "Project Operating Institution" means domestic or foreign institutions, organizations, or individuals (e.g., NGOs, agencies, corporations, schools, associations) that have entered into an intermediary agreement with Korea Gap Year under Article 2(3) and directly operate Gap Year Projects on-site, domestically or abroad.

 

  1. Content and Scope of Korea Gap Year Services

1) The scope of services provided by Korea Gap Year is as follows:

① Support to Participants regarding the purchase of Gap Year Projects.

② Support to Project Operating Institutions in relation to the promotion of Gap Year Projects.

3) Other services mediating between participants and project operating organizations.

2) Korea Gap Year acts as an intermediary between project operating organizations and participants and assumes only responsibility for efficient and fair project brokerage and transactions; it does not act as an agent for participants or local project operators in relation to project transactions.

3) The agency procedures shall terminate when the participant receives acceptance of participation from the project operating organization.

 

  1. Personal Information and Information Collection

1) The participant shall provide Korea Gap Year with truthful personal information necessary for the conduct of the project in which they participate, including criminal record status, dietary information, and any health-related special conditions. Any issues arising from information falsely provided by the participant shall be the responsibility of the participant.

2) The information provided by the participant will be used for Korea Gap Year’s participant screening, provided to project operating organizations, or used for participant management purposes, and shall not be used for any other purposes.

3) Participants must be at least 18 years old. Minors may participate only after submitting a parental/guardian consent form and additional documents in consultation with Korea Gap Year. Failure to submit the parental/guardian consent form and additional required documents will result in denial of participation.

4) The participant shall truthfully disclose personal physical and mental conditions, notable medical history, and any other special circumstances necessary for project participation, and must notify Korea Gap Year of any such particulars. Problems or denial of participation arising from failure to disclose such information in advance may result in cancellation of participation without refund.

5) By applying for project participation, the participant is deemed to have agreed in advance to the collection and use of personal information, third-party provision of personal information, the agency service terms, the amended e-commerce terms, and the cancellation and refund policies.

6) The participant is responsible for verifying his or her own criminal record. Korea Gap Year reserves the right to cancel the project without refund if the participant’s illegal activities or criminal record are confirmed. The participant must have no criminal record that disqualifies them from participating in the project.

7) If a participant takes part in two or more projects, Korea Gap Year may proceed with all administrative tasks and procedures based on the time of the initial project application and consent to participate.

 

  1. Project Operating Organizations

1) Gap year projects are conducted by project operating organizations. After project participation is confirmed, participants must fully familiarize themselves with information regarding the project operating organization.

2) After a project is confirmed, all schedules and details are under the authority and responsibility of the project operating organization and may change according to the circumstances of the local project operating organization (e.g., weather, transportation, natural disasters, war, government orders, terrorism, economic/social/physical crises, etc.). After project confirmation, all schedules and details are the authority and responsibility of the local project operating organization or entity.

3) Participants must comply with the operations and authority of the project operating organization.

4) To ensure transaction safety, direct transactions (monetary, goods, etc.) between participants and project operating organizations are prohibited. The parties to any direct transaction are fully responsible for any issues arising therefrom, and Korea Gap Year bears no responsibility for such problems.

5) If it is confirmed that a participant engaged in direct transactions with the project operating organization or induced a third party to engage in direct transactions before or after the project start, Korea Gap Year may claim damages from the participant.

6) With respect to transactions between participants and project operating organizations, responsibility for the existence and genuineness of intent to sell or purchase, as well as for quality, safety, legality, and non-infringement of others’ rights, rests with the participant and the project operating organization.

 

  1. Project Fees

1) Korea Gap Year provides intermediary services between participants and project operating organizations and may charge service fees in accordance with Korea Gap Year’s internal policies.

2) Korea Gap Year may charge a security deposit depending on the project to ensure proper participation and completion. The security deposit will be refunded in accordance with procedures if there are no issues after confirmation of proper participation, completion, and submission of the participant report. The security deposit is an amount of money that guarantees the participant’s contract to participate in and properly complete the project.

3) The project fees paid by the participant consist of the supplier cost set by the project operating organization, fees for basic services and goods, international remittance fees, applicable discount coupons, contents of optional products, taxes, and other applicable charges.

4) Details regarding the composition of participation fees can be found on the Korea Gap Year website (www.koreagapyear.com) under [Announcements].

5) For overseas projects, project fees are applied according to each country’s currency and exchange rates. Korea Gap Year reserves the right to change project fees, and the most accurate price should be confirmed via the website’s posted price and individual notifications.

6) Purchase evidence issued to participants (tax invoices, cash receipts, etc.) will be issued for the net Korea Gap Year service amount — excluding local supplier costs, local service and goods fees, local taxes, and local remittance fees — and will reflect the sum of Korea Gap Year service fees and discount services.

7) Applications for issuance of cash receipts are processed in writing or by email. To request a cash receipt, provide the recipient’s name, the recipient’s mobile phone number (or resident registration number or business registration number), the name of the project attended, and the email address for receiving the receipt, and submit the request to Korea Gap Year (help@koreagapyear.com).

8) Cash receipts will be issued within three days after the supply reference date. (*Supply reference date: For overseas projects — the project start date; for other products — in accordance with the company’s supply reference.)

9) If a person does not request issuance of a cash receipt or does not wish to receive one, an anonymous cash receipt (National Tax Service designated code 010-000-1234) will be issued voluntarily on the third day after the date of supply pursuant to the mandatory cash-receipt issuance system.

10) Korea Gap Year reserves the right to request additional payment for any price changes that occur after the participant has completed the application form but before participation is confirmed. If the participant refuses such payment, their participation may be cancelled, and Korea Gap Year shall not be liable.

11) If, after project participation is confirmed, the project cost increases by 5% or more, or the foreign-exchange rate applied to the project cost increases by 2% or more, Korea Gap Year may charge the participant for the increased amount; any difference arising from changes in exchange rates or project costs will not be refunded.

 

  1. Responsibility for Items Included and Excluded in the Project

1) Prior to remitting the participation fee and liability deposit, the participant acknowledges that they have reviewed the items listed as included and excluded and any special benefits on the project detail page; the participant is solely responsible for any issues arising from failure to be aware of such information.

2) The participant is responsible for items not included and for preparing them. Accordingly, if the participant fails to attend, is delayed, or cancels participation due to items not included, any additional costs and damages shall be borne by the participant, and Korea Gap Year shall have no liability.

3) Items included in the project may be changed due to local circumstances (such as weather, transportation, natural disasters, war, government orders, terrorism, or economic, social, or physical crises). After the project commences, all schedules and details are under the authority and responsibility of the project operator. Korea Gap Year will notify participants as soon as it becomes aware of such changes from the project operator.

4) Special benefits included in the project may be changed, reduced, or cancelled without the participant's consent.

 

  1. Project Duration

1) The participant is fully informed of the participation period of the gap year project, including the start and end dates. Korea Gap Year shall not be liable for any issues arising from the participant's failure to be aware of the project period.

2) Participants are advised to arrive in the project country and city at least 24 hours prior to the project's start date according to the local time of the project country and city, as instructed by Korea Gap Year and the project operator. If participation is denied due to late arrival, Korea Gap Year shall bear no responsibility and the participant shall be solely liable.

3) The participant is responsible for any mid-project withdrawal, loss of contact, unauthorized departure, change of mind, incidents, or accidents arising from the participant’s personal decisions or circumstances.

4) If a participant joins or arrives on dates other than the scheduled project start date, additional costs may be incurred, which shall be the responsibility of the participant. No refunds will be provided for any reduction in schedule in such cases.

 

  1. Participant's Obligation to Review Information

1) The participant is responsible for any problems resulting from their failure to review information provided by Korea Gap Year. Therefore, participants are strongly advised to review the information provided by Korea Gap Year prior to participating in the project.

2) All materials and information provided by Korea Gap Year are supplied for the participant's reference and are not guaranteed to be free from errors or to be up-to-date; participants are advised to re-confirm information upon arrival.

3) All materials and information provided by Korea Gap Year are the exclusive property of Korea Gap Year; unauthorized copying or sharing without Korea Gap Year's consent may result in civil and criminal penalties, and Korea Gap Year reserves the right to claim damages from participants for any financial loss caused by unauthorized copying or sharing.

4) Korea Gap Year provides the following information, which may be reduced or altered depending on timing and the project.

  • Information on Project Operators and Organizations
  • Project Activities and Schedule
  • Gap Year Planning and Development of On-site Project Plans
  • Departure/Arrival and Local Pickup Information
  • Country, Safety, and Travel Information
  • Other Necessary Information and All Training

 

  1. Responsibility for Accommodation

1) When accommodation is arranged in connection with the project

1) Prior to participating in a project, the participant must verify the name or location/address of the accommodation where they will stay, the number of cohabitants, whether meals are included, and other relevant details for each accommodation.

2) Accommodations may be changed or reduced due to local circumstances or the situation of the project operator (weather, transportation, natural disasters, war, government orders, terrorism, economic/social/physical crises, etc.), and the accommodation images and amenities shown in the project details may differ from reality.

3) Participants must familiarize themselves with and comply with any rules that apply to the accommodation they select. If a participant's negligence or intentional act results in disadvantages such as forced eviction or relocation, the participant shall bear sole responsibility.

4) If furniture, fixtures, or equipment in the accommodation are damaged due to a participant’s negligence or intentional act, the participant shall be fully liable for compensation and must resolve the matter directly with the project operator.

5) Participants must know the confirmed accommodation period prior to participation. If a change to the accommodation period is required after the project begins, the participant must notify and resolve the matter with the local project operator or accommodation manager. The participant must also promptly inform Korea Gap Year of any changes; the participant bears all responsibility for any consequences resulting from failure to notify either the project operator or Korea Gap Year.

6) If a participant changes the accommodation period for personal reasons, additional costs may incur, and the participant shall be responsible for all such additional costs. Furthermore, changes to the accommodation period may not be possible due to local circumstances.

2) When accommodation is not provided

1) Participants must be aware in advance when the project they are joining does not provide accommodation, and must independently decide upon and arrange their method of lodging and lodging provider during the project period.

2) If participants choose their own accommodation, they must sufficiently consider the distance to the project site and verify accessibility to public transportation, safety, number of roommates, whether meals are included, and other relevant factors.

3) The participant is solely responsible for all matters arising from accommodation they select themselves.

4) Upon participant request, Korea Gap Year may recommend accommodations. In such cases, cancellations, refunds, and changes shall follow the rules of the respective provider, and responsibility for the accommodation lies entirely with that provider (company, lodging facility, operator, etc.).

 

  1. Responsibilities regarding transportation and travel

1) Korea Gap Year does not act as an agent for the purchase of flights or other transportation. Participants are responsible for all schedules of flights, ships, and other transportation for project participation, and Korea Gap Year shall have no responsibility in this regard.

2) Korea Gap Year is not liable for changes, delays, cancellations, or refunds related to flights, ships, or other transportation that participants purchase or will purchase. Participants must secure one-way or round-trip transportation in advance and be aware of accurate transportation information when traveling.

3) For the smooth conduct of the project, participants must purchase tickets and transportation in accordance with Korea Gap Year’s guidance and coordination after project participation is confirmed. Korea Gap Year is not responsible for problems arising from purchasing tickets or transportation prior to final project instructions.

4) Korea Gap Year will not provide any refunds and bears no responsibility for canceled participation, missed schedules, or services resulting from cancellation, schedule changes, or delays of a participant’s flights, ships, or other transportation.

5) If participating in a project that includes pickup service, participants must submit detailed flight, ship, or other transportation information to Korea Gap Year at least 28 days prior to arrival. Failure to submit within the deadline resulting in non-receipt of pickup service is the participant’s responsibility. All transportation details submitted must be final; submitting transportation that is only reserved but not fully confirmed will be treated as not submitted and pickup will not be provided.

6) For projects that include pickup service, any pickup delays, accidents, cancellations, or similar incidents are the responsibility of the local entity operating the pickup service or the project operator.

7) For projects that include pickup service, the content and method of pickup may be changed without the participant’s consent due to local circumstances (weather, transportation, natural disasters, war, government orders, terrorism, economic/social/physical crises, etc.).

8) For projects that do not include pickup service, participants must travel to the project site themselves in order to participate and commence the project. Participants shall bear any costs incurred in traveling.

9) If the project fee includes flights, ships, or other transportation, or if Korea Gap Year facilitates or recommends such services for the participant’s convenience, participants must comply with the rules of the providing institution (travel agency, airline, local provider, etc.). Responsibility for such transportation lies with the providing institution (travel agency, airline, local provider, etc.).

 

  1. Responsibilities regarding visas and vaccinations

1) Due to government policies strengthening personal data protection, Korea Gap Year does not act on behalf of participants for visa or other document processing when there is a risk of personal data exposure.

2) Prior to participation, participants must be fully aware of passport validity and visa requirements for the country of participation (including transit countries) and any requirements imposed by the project operator. For smooth participation, Korea Gap Year recommends a passport with at least two years of validity remaining as of the project start date.

3) Korea Gap Year may provide visa and vaccination guidance for participants’ reference. However, participants must independently verify up-to-date visa and vaccination information as of their participation date. Korea Gap Year shall not be liable for any damage arising from errors or outdated visa or vaccination information provided by Korea Gap Year.

4) Participants in overseas projects are responsible for preparing all required documents and visas and for complying with all laws, orders, requirements, and project participation conditions of the destination country. It is the participant’s responsibility to ensure that all documents and visas required for participation remain valid during the project period, and Korea Gap Year is not responsible for incidents arising from the participant’s failure to exercise due care regarding documents and visa information.

5) Participants must complete all required vaccinations at least four 4weeks prior to the program start date for the purpose of disease prevention. For special or additional vaccinations, participants must follow their individual health conditions as well as disease information and recommendations provided by the Ministry of Foreign Affairs.

6) For the purpose of disease prevention and vaccination, participants are required to review, understand, and comply with all relevant health and vaccination information in advance.

7) Korea Gap Year shall not be liable for any consequences that may arise at any time if a participant fails to obtain or carry valid required documents or visas, or if the participant violates any such laws, regulations, orders, requirements, rules, or instructions.

 

  1. Cancellation and Refund Policy

1) Korea Gap Year shall not be liable for any damages to the participant arising from the participant's unilateral cancellation (including no-shows, unauthorized departures, loss of contact, change of mind, incidents, or accidents) or changes. In addition,If a participant cancels the project after the project has been confirmed, the paid registration fee is non-refundable, and the refund policy applicable to the project will apply to the amount excluding the registration fee.

2) All Gap Year projects are subject to refund policies set by the project operating organization or agency.They fall into one of three standardized refund policy types (Standard, Strict, Very Strict).You must review the refund policy applicable to the project before purchase. The refund policy applicable to each project can be found on the project's detail page.

In the event of a refund after confirmation of project participation, refunds shall be processed after deducting cancellation fees and any applicable taxes.

The time of confirmation of project participation shall be the date and time on which Korea Gap Year sends the project participation confirmation email to the participant, and the project start date and remaining days shall be calculated based on 00:00 Korea Standard Time on that date.

If, after confirmation of project participation, a participant cancels for personal reasons, cancellation fees may be imposed on non-refundable portions of certain prepaid costs in accordance with the project operator's policy, in addition to the project's established refund policy.

 

4) Refund Policy for Projects with a Liability Fee

① Participants in projects subject to a liability fee must fully familiarize themselves with the liability fee regulations; failure to do so and any problems arising therefrom are the sole responsibility of the participant.

② The liability fee paid by the participant will be refunded in full following the established procedure upon confirmation of normal participation in the project, project completion, and submission of the participant report.

For projects subject to a liability fee, participants assist local organizations and receive corresponding compensation (such as activity allowances or provision of living conveniences, which vary by local organization). Participants are obligated to compensate for any damages resulting from noncompliance with the rules and regulations of the project operating organization during participation, and the project may be terminated forcibly. Korea Gap Year shall not be held liable for such matters.

④ If a participant joins a project under financial support, the liability fee is non-refundable if 100% attendance is not achieved; the participant, having agreed to this prior to confirmation of participation, may not raise objections.Raiseobjections.

⑤ For projects subject to a liability fee, project details and provisions may vary depending on local circumstances and the project operating organization (e.g., weather, transportation, natural disasters, war, government orders, terrorism, or economic, social, or physical crises). Once the project has commenced, all schedules and details are under the authority and responsibility of the local project operating organization.

5) Project Cancellations, Refunds and Changes

① After payment of the project fee, project details (start date, duration, options, etc.) may be changed once only; administrative fees will apply depending on the timing of the change. This administrative fee must be paid each time an individual participant makes a change.

② In the event that project cancellations, refunds, or changes incur additional costs (project fees, remittance fees, express urgent package, cancellation of discountsetc.), the participant is responsible for these additional costs.

③ The possibility of cancellation, refund, or change cannot always be guaranteed, and such actions may be impossible depending on the project. Whether a project's details can be changed depends on consultation between the project operating organization and Korea Gap Year, and generally changes are not possible after project participation has been confirmed.

④ When the project duration is shortened, refunds for the cancelled period will follow one of three standardized refund policies (standard, strict, very strict).

⑤ If the project schedule is changed after participation has been confirmed, subsequent project cancellations, refunds, and schedule changes are not permitted.

 

 

6) Other Important Notes Regarding Cancellations and Refunds

① If, after applying for the project and completing payment, contact is lost for more than 72 hours without prior consultation, the participant will be deemed to have no intention to proceed with the project and the project will be automatically canceled. In such cases, project fees (including the liability fee) will not be refunded and the participant may be restricted from participating in future Gap Year projects.

② The project registration fee is non-refundable once participation in the project has been confirmed.

③ If an emergency application is made less than 21 days prior to the project start date, certain services described in the project details may not be provided. Korea Gap Year shall not provide any refunds in such cases and shall bear no liability.

④ 19 days prior to the start dateor fewerIf an application is submitted at a time when 19 days or fewer remain before the start date, an ultra-urgent package fee must be paid; this fee is an administrative charge for expedited participation and is non-refundable regardless of whether the project is ultimately confirmed.

⑤ Due to circumstances of local organizations (e.g., weather, transportation, natural disasters, war, government orders, terrorism, economic/social/physical crises), outdated information, or errors, the project schedule, activities, and provided items may change and, where unavoidable, may be reduced or modified. Cancellations or refunds resulting from such changes are not possible, and responsibility for such matters lies with the project operating organization.

7) Cancellation, Refund and Amendment Procedures

 

① ProjectCancellation, refund and amendmentare accepted only through the Korea Gap Year website, and the entire process shall be conducted in accordance with prescribed procedures. Project cancellation, refund and amendmenton the websitemay be requested via the website.

② All cancellation, refund and amendment application timestamps shall be based on Korea Gap Year's weekday business hours (Mon–Fri 10:00–17:00). Cancellation, refund and amendment requests for which the receipt date falls on a Saturday, Sunday, or public holiday must be submitted during weekday business hours to be considered received. Requests made after weekday business hours, or on Saturdays, Sundays, or public holidays,for cancellation, refund and amendment will be deemed received and processed on the next weekday business day.

  1. Issuance of participation reports and certificates.

1) For projects with a responsibility fee

① All participants in Gap Year projects requiring a responsibility fee must, upon normal completion of the project, check the Gap Year website (www.koreagapyear.com) and, in accordance with the notices, submit the participation report and required documents within 30 days of the project completion date and request the refund; only then is a refund of the responsibility fee possible. If the participation report is not submitted within 30 days or a refund request is not made, the responsibility fee will not be refunded under any circumstances, and Korea Gap Year shall bear no liability.

② If the participation report and mandatory submission documents are insincerely or incompletely prepared, Korea Gap Year may require resubmission; failure to submit the documents within the deadline or submission of insincerely prepared documents may result in denial of the responsibility fee refund.

③ Copyright in the participation report, submitted documents, and participant works (photos, videos, essays, etc.) submitted for the responsibility fee refund shall vest entirely in Korea Gap Year and may be used for promotional and marketing purposes.

2) For all projects other than those requiring a responsibility fee

① Participants in all projects excluding Gap Year responsibility-fee projects may, upon normal completion of the project, via the Korea Gap Yearwebsite (www.koreagapyear.com) obtain project certificates and verifications. However, to receive a certificate of completion, the participation report must be completed within 30 days after project conclusion.

② If the participant fails to submit the participation report within 30 days after the project’s conclusion without prior consent from Korea Gap Year, or submits it in an insincere or incomplete manner, issuance of certificates and attestations may be refused or resubmission may be required.

③ Copyright in the participation report, related submitted documents, and participants’ works (e.g., photographs, videos, essays) submitted for the issuance of certificates and attestations shall be owned exclusively by Korea Gap Year and may be used for promotional and marketing purposes.

 

  1. Gap Year Missions and Scholarships

① Participants must review the pre-mission information provided prior to Gap Year missions (Gap Year Mission Guide). Korea Gap Year shall not be liable for any incidents arising from a participant’s failure to acquaint themselves with such information.

② Applicants must check the Gap Year scholarship application procedure on the Korea Gap Year website (www.koreagapyear.com) following the proper completion of the project and Gap Year mission, and must submit the mission scholarship application, participation report, and related documents within 30 days from the project end date. If these documents are not submitted within the stated period, the funds corresponding to the completed mission shall be donated in the participant’s name.

③ Refundability of Gap Year mission scholarships may vary depending on the project and its duration.

④ The responsible department will periodically review the blog for mission completion status and will conduct a final determination of mission completion after the participant submits the mission scholarship application; therefore, until that time the participant’s mission records on the blog must be set to public and be available for verification.

⑤ Copyright in the mission submissions, participation reports, and other participant works (e.g., photographs, videos, essays) submitted for Gap Year scholarships and for issuance of certificates and attestations shall be owned exclusively by Korea Gap Year and may be used for promotional and marketing purposes.

 

  1. Participant Obligations and Local Living

1) Participants are obliged to prepare for departure and activities by taking into account their own physical and mental health, including any illnesses that require attention during the project period. If a participant has chronic conditions or current health concerns, and falls under any of the criteria below, the participant is responsible for consulting their primary physician and visiting an appropriate medical institution prior to departure, and for verifying and preparing health documentation, prescribed medications, basic medical supplies, and any documentation required to bring such medications.

- If the participant has cardiovascular diseases such as myocardial infarction, angina, or heart failure, or has undergone cardiac surgery.

- If the participant has respiratory diseases such as chronic obstructive pulmonary disease, asthma, pneumonia, pulmonary edema, or pneumothorax.

- If the participant has neurological conditions such as stroke or brain tumor, or has undergone brain surgery.

- If the participant has undergone recent surgery.

- If the participant is currently hospitalized or has a condition requiring ongoing treatment.

- If the participant has an acute infectious or contagious disease.

- If the participant has an uncontrolled psychiatric disorder.

- If the participant has been diagnosed with deep vein thrombosis or pulmonary embolism.

- If the participant requires in-flight oxygen, a stretcher, or the use of specialized medical equipment during flights.

- If the participant has diabetes or allergies to specific substances and carries syringes for medical purposes.

- If the participant has implanted medical devices for therapeutic purposes, such as a pacemaker, insulin pump, or spinal cord stimulator.

* The above criteria are subject to change in accordance with the latest information from the Korea Disease Control and Prevention Agency, medical institutions, airlines, and other relevant authorities.

2) Participants must review project information and orientations posted on the website; Korea Gap Year shall not be liable for any incidents arising from a participant’s failure to do so, and all responsibility in this regard shall rest solely with the participant.

3) Compliance with Safety Rules

① The participant shall be solely responsible for incidents, accidents, thefts, and losses occurring during the project; Korea Gap Year shall bear no liability in this regard. Participants must therefore remain vigilant regarding safety incidents, accidents, theft, and loss while participating in the project.

② Participants must comply with the following safety rules. The participant shall bear full responsibility for any safety incidents resulting from failure to comply.

  • Participants must always wear seatbelts while in vehicles and must not leave their seats while the vehicle is in motion.
  • Participants must keep passports and valuables securely stored.
  • When using beaches, swimming pools, or water sports, participants must strictly adhere to water safety rules.
  • Participants are responsible for safeguarding their valuables and must manage them carefully to prevent loss on buses, in hotels, or in other locations.
  • When boarding or alighting from transportation, participants must ensure the vehicle has come to a complete stop before doing so.
  • Consumption of alcohol and performances such as singing or dancing are prohibited while on transportation.
  • When moving or engaging in activities as a group, participants must follow the instructions of the person in charge and cooperate with group guidance.
  • When going out or leaving the project site, participants must always carry the project operator's address and the contact information of the person in charge.
  • If separated from the group or lost, participants must remain calm and contact the person in charge.
  • Participants must take care to prevent loss of bags or wallets in crowded areas.
  • Participants shall not damage facilities or natural features at tourist sites.
  • Participants should be vigilant against theft techniques, including approaches by individuals who offer to take photographs and then flee with the camera, or who use ruses such as asking for directions or feigning begging to steal belongings.
  • Participants must maintain cleanliness and hygiene at all times to prevent food poisoning, stomach upset, and similar issues.
  • Participants must take precautions to avoid slipping when using bathrooms, swimming pools, and similar facilities.
  • Smoking is prohibited in non-smoking areas.
  • Any accidents occurring during the project period are the participant's responsibility; participants must therefore always exercise caution.
  • Participants must exercise caution when using crosswalks by considering the traffic direction in each country and must not jaywalk.
  • Participants must take care to avoid collisions with vehicles and bicycles when going out.
  • Conflicts may arise among participants due to the selfish actions of some individuals; participants shall practice consideration and courtesy toward one another.
  • Participants must review, understand, and comply with all overseas travel safety guidelines and recommendations issued by the Ministry of Foreign Affairs of each country.

 In the event of an emergency during project participation, participants must first contact the project operating organization. If significant matters such as changes to or suspension of the project arise, the participant must contact Korea Gap Year by the method specified by Korea Gap Year within 24 hours to discuss the subsequent course of action.

 Information regarding services used individually outside the project's daily schedule and introductions to activities are provided for participants' reference and do not constitute services provided by Korea Gap Year. Therefore, participants should exercise particular caution when using services during free time. Participants must consider their current physical condition and abilities, avoid overexertion, wear safety equipment, comply with safety rules, verify that they have insurance covering potential risks, and confirm that activity providers are trustworthy.

4) Participants must submit, upon Korea Gap Year's request, relevant information such as itineraries and plans, flight information, travel insurance details, and documents requested by Korea Gap Year, and agree to the collection, use, and, if necessary, disclosure of such information to third parties. The participant is solely responsible for failure to submit the required information.

5) During the project period, public holidays, special events, weekends, and religious holidays in the project region and country may occur. Korea Gap Year will not provide any refunds or compensation for schedules or services missed as a result. Korea Gap Year does not provide information on these matters; participants must verify them independently.

6) During participation, the confirmed project and assigned accommodation may not be changed without the permission of the project operator and Korea Gap Year.

7) If a participant wishes to engage in additional activities or extend the participation period during the project, the participant must consult with Korea Gap Year for safety reasons.

8) The project may be terminated forcibly if the participant falls under any of the following circumstances. Korea Gap Year shall not be liable for any disadvantages resulting therefrom; such responsibility lies entirely with the participant. Korea Gap Year will not refund any schedules or services the participant fails to attend as a result.

If the participant requires individual medical or psychiatric care or is unable to participate in the project due to physical or mental health reasons, or if the participant fails to disclose prior physical or mental health conditions and is deemed to impede the smooth conduct of the project.

 If the participant fails to submit documents or information requested by Korea Gap Year that are necessary for the conduct of the project.

If the participant engages in actions that denigrate or show contempt toward the host country or its nationals.

If the participant discloses confidential information about the host region or the project operator learned through participation.

If the participant fails to comply with the laws and customs of the host country or region, or is expelled from the host country or region as a result.

⑥ Participation in political protests or events, participation in illegal activities, or unauthorized religious activities in the host country or region.

⑦ Conduct that damages the dignity of the Republic of Korea or brings dishonor to Korea Gap Year or its participants as a whole.

⑧ Failure to comply with the rules and regulations of the project host organization.

⑨ Failure to follow the guidance and supervision of the local project host organization and Korea Gap Year.

⑩ Engagement in unethical activities, wearing clothing inappropriate for the local culture or environment, or participating in the project in an insincere manner.

⑪ Actions that cause physical, psychological, or property damage to others.

⑫ Failure to inform the project host organization or affiliated organizations of plans or travel routes outside of project activities, resulting in problems.

⑬ Other cases in which the project host organization determines that a participant has harmed other participants or that the smooth operation of the project is no longer feasible.

⑭ In cases where a participant may be forcibly withdrawn from the project prior to normal completion, a Participant Evaluation Committee may be convened to assess the participant’s conduct during the project, interpersonal relations, and compliance with the host organization’s requirements. Decisions will be made based on the committee’s evaluation, and the participant must abide by the final decision. Upon request of a participant who has received disciplinary dismissal, one-on-one counseling may be provided after repatriation.

9) Participants shall diligently cooperate with Korea Gap Year’s requests and instructions to ensure the smooth progress of the project. Participants shall be liable to compensate Korea Gap Year and the project host organization for any damages caused to them by the participant’s intentional or negligent acts.

 

  1. Appeals and Mediation

1) If a complaint or any unpleasant situation affecting project participation arises during the project, the participant must inform the project host organization and seek to resolve the matter directly with the host organization.

2) In the following cases, the participant may request mediation from Korea Gap Year:

① If the participant has sent a dispute-resolution inquiry to the project host organization and 72 business hours have passed without receiving a response.

② If no agreement can be reached.

3) When requesting mediation from Korea Gap Year, the participant agrees to accept that all decisions made by Korea Gap Year are final and understands that the final determination may not align with the participant’s desired outcome.

4) Korea Gap Year will conduct coordination and mediation regarding reservations, changes, difficulties, local facilities and environmental issues, and other matters between Korea Gap Year, the participant, and the project host organization only up to 15 days from the participant’s project start date; all processes will be conducted in writing. Any coordination arising from day 16 onward must be discussed directly between the participant and the project host organization.

5) All processes related to mediation will be finally determined based on supporting documents provided by the participant and the project host organization and Korea Gap Year’s internal regulations. Korea Gap Year may request additional materials as necessary. If the participant fails to submit requested documents within 72 hours, or unilaterally decides not to attend or cancels the project based on personal preference or notifies such decisions without separate discussion, the participant will be deemed to have waived mediation and any subsequent issues will be the participant’s sole responsibility.

6) Communications will be conducted via email and designated channels. Online chat, KakaoTalk and Facebook messages, text messages, and similar platforms are not accepted as appropriate means of filing objections.

 

  1. Important Notices

1) For overseas gap year projects, it is generally recommended that participants hold a passport with at least two years of validity remaining after the end of the project period. Please verify the passport validity requirements shown in each project’s detailed description on the Korea Gap Year website (www.koreagapyear.com) and ensure you possess a passport that meets those requirements.

2) The effective date of the project application is the date of payment of the project fee. Therefore, when completing the project application, be sure to confirm the project participation dates and duration.

3) Any texts, photos, videos, online/offline posts, or materials provided to Korea Gap Year by the participant, and any host organization materials featuring the participant, may be used at any time for Korea Gap Year’s promotional and marketing purposes.

4) Travel advisory levels for overseas travel are classified into various stages, including Travel Caution, Travel Advisory, Evacuation Recommendation, and Travel Ban. Participants must review and confirm the travel advisory information issued by their country of nationality.

I acknowledge that I have fully understood the contents of the gap year project provided by Korea Gap Year, and I agree not to raise objections regarding any issues arising from situations I failed to verify. The participant’s rights and obligations under this participation agreement shall apply from the date of signing this agreement for the periods specified in the respective provisions. Any arrangements after project completion are at the participant’s discretion and the participant’s sole responsibility; please exercise due caution for your safety. After signing this agreement, cancellation of project participation due to a subsequent change of heart is not permitted.
