Refund Policy for Korea GapYear Projects
The refund policy is designed to protect the project operating organization from losses arising from participants' unilateral or sudden cancellations (including no-shows, unauthorized departures, or loss of contact) and changes, while safeguarding the rights of both participants and the project operating organization, and fostering fair trading practices. It is essential to review the special terms and conditions and regulations of Korea GapYear before making a reservation.
1) Domestic and International Project Refund Policies
All Korea GapYear Projects have refund policies determined by the project operating organization or entity. These policies fall into one of five standardized categories (Very Flexible, Flexible, Standard, Strict, Very Strict). It is strongly recommended to review the applicable refund policy for the project before making a reservation. The refund policy applicable to each project can be found on the project's detail page.

① Korea GapYear is not responsible for any damages to the participant resulting from unilateral cancellation (non-attendance, unauthorized departure, loss of contact, simple change of mind, incidents, etc.) or changes by the participant.
② If the project is canceled and refunded after the project participation is confirmed, the refund will be made after deducting the cancellation fee and related taxes. (The cancellation fee is 20% of the total project cost.)
③ The project confirmation date is based on the date and time when Korea GapYear sends the project confirmation email to the participant, and the project start date and remaining days are based on 00:00 Korean time on the relevant date.
④ If the project includes a pre-interview, a cancellation fee of 50,000 KRW will be charged if canceled before confirmation.
⑤ If a project is applied for within 30 days before the project start date, the <Very Strict> refund policy applies regardless of the project. However, if the project is canceled before confirmation, the cost excluding the registration fee will be refunded.
⑥ If a project is canceled due to personal reasons after confirmation, a cancellation fee may be imposed on the non-refundable portion of the prepaid amount according to the standards of the project operating organization
⑦ The registration fee for the project is non-refundable after project confirmation.
2) Additional Information on Participant Cancellations and Changes
① An administrative fee of 50,000 KRW will be incurred for changes to the project content (duration, options, etc.) after the project fee payment, and this fee must be paid each time the content is changed per participant.
② The participant is responsible for any additional costs (project costs, remittance fees, etc.) incurred due to project cancellations and changes.
③ The possibility of project cancellation and changes is not always guaranteed, and it may be impossible to cancel or change the project depending on the project. Projects that can be changed are subject to agreement between the project operating organization and Korea GapYear, and generally, changes are not possible after the project is confirmed.
④ In case of shortening the project period, a standardized refund policy (Very Flexible, Flexible, Moderate, Strict, Very Strict) applies to the canceled period, and the relevant refund policy should be reviewed
⑤ If less than 30 days remain before the project start date after project confirmation, the project content cannot be changed.
⑥ If there is no contact for more than 72 hours without prior consultation after project support and payment is completed, it is considered that the participant has no intention to proceed with the project, and the project is automatically canceled. In this case, the project fee (including the responsibility fee) will not be refunded, and future participation in Korea GapYear Programs will be restricted.
⑦ If applied urgently within 21 days before the project start date, some schedules and services may not be provided. Refunds for this are not possible.
⑧ If applied within 19 days before the start date, an urgent package fee must be paid, which is non-refundable regardless of the final confirmation of the project.
⑨ If the project schedule is changed (postponed) after confirmation, the refund policy will apply based on the original project start date if a refund is requested after the change.
3) Project Operator Cancellation and Change Conditions
① If the project operating organization cancels the project before the start, the project cost will be refunded. If the participant agrees, the project can be changed once without additional service or change fees. Any additional project costs due to the change are borne by the participant.
② The company reserves the right to cancel project participation for the safety and protection of the participant in cases of natural disasters, war, government orders, or other economic, social, or physical crises in the project area that make it impossible to achieve the purpose of project participation. In such cases, the project can be changed once without additional service or change fees. Any additional project costs due to the change are borne by the participant.
③ If the project content needs to be changed due to local circumstances (natural disasters, war, government orders), the changes can be made with the agreement of the project organization and the participant. If the project cost increases due to this, the participant must settle the additional amount within 10 days after the project ends.
④ Due to local conditions (weather, transportation, natural disasters, war, government orders, terrorism, economic/social/physical crises), project schedules, activities, and provided items may differ and may be reduced or changed. Cancellations or refunds due to this are not possible, and the responsibility lies with the project operating organization.
⑤ Refunds may vary according to the travel advisories of the Ministry of Foreign Affairs.
4) Cancellation and Refund Procedures
① All cancellations and refunds are only accepted through the application form provided by Korea GapYear, and the entire process is carried out according to the set procedure. To request a cancellation or refund, download the refund application form from the website notices and submit it to the Korea GapYear Operations Management Team (koreagapyear@gmail.com).
② All cancellation and refund request dates and times are based on Korea GapYear's business hours (Mon-Fri 10:00-17:00). If the cancellation and refund request is submitted on a weekend or holiday, it must be received by the next business day. Requests made after business hours or on weekends/holidays will be processed based on the next business day.
③ Refunds are processed on the 15th of every month. However, requests submitted after the 10th of each month will be refunded on the 15th of the following month.
5) Refund Policy for Projects with Responsibility Fees
① Participants in projects with responsibility fees must be thoroughly familiar with the responsibility fee regulations, and the participant is fully responsible for any issues arising from a lack of knowledge.
② The responsibility fee paid by the participant will be refunded in full according to the procedure after confirming normal participation, completion, and submission of the participation report.
③ For projects with responsibility fees, the <Very Strict> refund policy applies by default. Therefore, refunds for responsibility fees and participation fees are not possible in case of cancellation or mid-term abandonment for personal reasons after support and payment.
④ For projects with responsibility fees, participants assist with local activities and receive corresponding compensation (activity fees or living facilities, depending on the local organization). If the participant causes damage by not complying with the rules and regulations of the project operating organization, the participant is liable for compensation, and the project may be forcibly terminated. Korea GapYear is not responsible for this.
⑤ If participating in a project with financial support, the responsibility fee will not be refunded if 100% attendance is not achieved. Participants cannot dispute this as they agreed to this condition upon project confirmation.
⑥ For projects with responsibility fees, project details, and provisions may vary depending on local conditions and the project operating organization. After the project starts, all schedules and details are the responsibility of the local project operating organization.
⑦ If the project cannot proceed or is interrupted due to reasons attributable to the Korea GapYear, a full refund will be made. However, this does not apply if it is proven that Korea GapYear is not at fault.

Receipt Issuance for Cash Payments The amount paid by the participant includes the supply cost set by the local organization, basic service and goods usage fees, overseas remittance fees, Korea GapYear usage fees (approximately 200,000 KRW for language projects, approximately 350,000 KRW for overseas projects, subject to exceptions and local regulations), applied discount coupons, and option details of the optional product. Therefore, the purchase proof (tax invoice, cash receipt, etc.) issued to the participant will be issued for the amount excluding the local supply cost, service and goods usage fees, overseas remittance fees, etc., and summing only the Korea GapYear usage fees and discount coupons(Net amount spent on Korea GapYear services), in accordance with the Tax Exemption Act Articles 126-2 and 126-3, and the Basic VAT Act Article 17-0-10.
